Job Summary:
The Account Executive will be responsible for the day-to-day financial operations of the NGO, ensuring accurate financial record-keeping, reporting, and compliance with internal policies, donor requirements, and regulatory standards. This role is essential in maintaining the financial health and accountability of the organization. The ideal candidate will have a strong background in accounting, excellent attention to detail, and a commitment to transparency and ethical financial practices.
Key Responsibilities:
1. Financial Accounting & Bookkeeping
- Maintain up-to-date and accurate records of all financial transactions in accounting software/manual ledgers.
- Prepare journal entries, receipts, payments, and bank reconciliations on a regular basis.
- Ensure timely posting of income and expenditures with appropriate supporting documentation.
2. Budgeting & Financial Planning
- Assist in preparing annual and project-wise budgets in coordination with program and finance teams.
- Monitor budget utilization and prepare variance reports on a monthly/quarterly basis.
- Support in reforecasting and financial planning based on donor funding and operational needs.
3. Reporting & Documentation
- Prepare monthly, quarterly, and annual financial reports for internal use and donor requirements.
- Ensure all financial documentation (invoices, bills, vouchers, receipts, contracts, etc.) is filed and archived systematically.
- Support the preparation of financial statements and donor-specific financial reports.
4. Donor Compliance & Audit Support
- Ensure expenditures are in compliance with donor agreements, budgets, and grant terms.
- Prepare audit-ready documentation and coordinate with external/internal auditors.
- Address auditor queries and assist in implementing audit recommendations.
5. Procurement & Vendor Management (Finance Role)
- Ensure all procurement transactions are documented with proper quotations, approvals, and receipts.
- Maintain a database of vendors and suppliers and ensure timely settlement of dues.
- Track advances and ensure timely settlements and reconciliations.
Qualifications & Requirements:
- Bachelor's degree in Commerce, Accounting, Finance, or a related field (M.Com or MBA Finance preferred).
- 3–4 years of experience in accounting or finance roles, preferably in NGOs or development organizations.
- Strong knowledge of accounting principles, financial regulations, and audit practices.
- Proficiency in accounting software (e.G., Tally, QuickBooks, Zoho Books, etc.) and MS Excel.
- Familiarity with donor compliance (e.G., USAID, DFID, UN agencies, CSR funding) is an advantage.
- High attention to detail, integrity, and confidentiality.
- Good communication skills – both written and verbal.
Preferred Skills:
- Familiarity with grant management and donor financial reporting formats.
- Ability to work under pressure and meet deadlines.
Working Conditions:
- May be required to work extended hours during audits or financial year-end closing.
