Job description The ideal candidate will be the first point of contact for visitors and clients, ensuring a positive and professional experience. This role involves various administrative tasks and responsibilities to maintain the smooth functioning of the office. Key Responsibilities: Greeting and Welcoming: Warmly greet and welcome guests upon their arrival at the office. Create a positive first impression by providing excellent customer service. Visitor Management: Direct visitors to the appropriate person and office. Effectively handle inquiries and provide basic information in-person and via phone/email. Maintain a professional and organized reception area. Communication Handling: Answer, screen, and forward incoming phone calls promptly and professionally. Ensure accurate and efficient message delivery to relevant personnel. Mail and Inventory Management: Receive, sort, and distribute daily mail and deliveries. Keep track of inventory, ensuring that office supplies are well-stocked. Office Security: Maintain office security by following safety procedures. Control access via the reception desk, monitor the logbook, and issue visitor badges as needed. Calendar Management: Update calendars and schedule meetings for the team. Coordinate with colleagues to ensure efficient use of meeting spaces. Record Keeping: Keep updated records of office expenses and costs. Assist in maintaining organized and accurate documentation.
