We are looking for a Vendor Management Specialist to join our brand marketing team. This role is crucial in managing relationships with creative agencies, production houses, event vendors, and other service providers. The ideal candidate will ensure cost-effective, high-quality, and timely execution of vendor deliverables while maintaining strong relationships and negotiating favorable contracts.

The role will also require on-ground field experience in vendor coordination, event execution, and real-time problem-solving at various marketing and branding activations.

Key Responsibilities:

  • Vendor Sourcing & Onboarding: Identify, evaluate, and onboard vendors (agencies, freelancers, production houses, event organizers, etc.) based on quality, cost, and timelines.
  • Contract Negotiation & Compliance: Negotiate contracts and payment terms to optimize costs and ensure service-level agreements (SLAs) are met.
  • Field Execution & On-Ground Coordination: Oversee vendor operations during live events, campaigns, and branding activations, ensuring smooth execution.
  • Relationship Management: Act as the primary point of contact for all vendors, maintaining strong working relationships and resolving conflicts efficiently.
  • Performance Tracking & Optimization: Regularly assess vendor performance against KPIs and take corrective action where needed.
  • Budget & Cost Management: Track vendor-related expenses, optimize costs without compromising on quality, and ensure payments are processed on time.
  • Process Improvement: Streamline vendor management processes to enhance efficiency, mitigate risks, and improve overall operational effectiveness.
  • Collaboration: Work closely with internal teams (content, design, video, social media, events) to align vendor deliverables with brand marketing goals.
  • Market Research: Stay updated on industry trends, new vendors, and innovative solutions that can enhance Sunstone's brand marketing efforts.

Key Requirements:

  • Experience: 3-5 years in vendor management, procurement, operations, or a similar role within brand marketing, media, or events.
  • Field Experience: Hands-on experience in managing on-ground activations, live event coordination, and troubleshooting vendor-related issues in real time.
  • Education: Bachelor's/Master's degree in Business Administration, Marketing, or a related field.
  • Skills:
  • Strong negotiation and contract management skills.
  • Excellent communication and relationship-building abilities.
  • Budget management and cost optimization expertise.
  • Problem-solving and decision-making skills.
  • Ability to multitask and manage multiple vendors simultaneously.
  • Knowledge of marketing, production, and event execution processes is a plus.
  • Willingness to travel as per project requirements.
