The Opportunity
We are currently seeking a highly motivated and skilled individual to join our team as an Assistant Facilities Manager.
In this role, you will be responsible for supporting the overall operations and management of our facilities management services. You will work closely with the Facilities Manager to ensure the smooth and efficient delivery of services to our clients.
Main Responsibilities
Ensure the operational contract related to engineering and soft services are in place.
Guarantee the proper preventive maintenance of all equipment.
Responsible on the support staff like the M&E, Housekeeping & Security muster, deployment,
work for closures of all sites related issues within the facility.
Ensure that the site operational related issues are discussed with the respective department (like the M&E, Security, Housekeeping) supervisor and also get closure on the observed points after discussing with the reporting manager to ensure the smooth site Operations.
Take the proactive facility rounds on regular basis and resolve the observed points to close the avoid the complaints.
Provide the site management related advice to Security, Housekeeping and Mail room executive for resolution of escalated issues.
Ensure the immediate response to all priority calls/complaints during the normal office hours.
Implement engineering & operational procedures & roll out the same for site staff.
Experience with the timely PPM of all utilities as per the 52 weekend PPM schedule.
Review the M&E related activities on regular basis to serve the better-quality service to client.
Responsible for development of all maintenance related schedules & shut down in consultations with OEM.
Periodically inspection of logbooks, history card, checklist, escalation charts, OCP & PPM schedules etc. for a better management of engineering systems.
Implementation of best practices to save the electricity consumption.
Ensure that necessary training plan is scheduled and train the M&E team and online staff as per schedules.
Experience with the proper updating of registers and records on daily basis at main security desk, like as material I/C O/G registers, visitor registers, vendor entry register, patrolling register, gate pass etc.
Brief the site HK supervisor on regular basis to serve the best quality housekeeping service to client.
Participate during emergency evacuation procedure and manage all health & safety issues.
Ensure all invoices are processed in line with job completion and coordinate on time payments to vendors.
Handle office renovation projects from initiation to completion stage and also ensure the quality of job.
Rent and all vendor invoice processing.
Others invoice processing and follow up with local team.
License renewal of all utility equipment’s.
Coordination to scrap materials of both the buildings.
Coordination and managing all HR Events and fulfil requirements.
BSNL invoice processing and cheque deliver to concern department.
Managing parking issues with Govt. authority.
The ideal candidate will have:
Bachelor's in electrical and electronics.
Technical Skills like:
- Electrical maintenance facility management,
- Engineering.
- AMC’s.
- Facility Project Management Soft Services.
- F&B.
Team handling, teamwork and leadership skills.
Procurement and Vendor management.
Soft skills.
Problem solving skills.
