About this Role:

In a hospital setting, the Purchase and/or Supply Chain Manager plays a critical role in ensuring that the hospital has the necessary supplies and equipment to provide quality patient care while also managing costs and adhering to regulatory requirements. Their day-to-day activities involve a combination of strategic planning, operational oversight, and collaborative communication with internal stakeholders and external suppliers.


Scope of Work: This profile will be in-charge of supply chain operations for the pharmacy division of the Hospital to ensure smooth flow of inventory and information through proper channels. Among other things, are responsible for optimising time and cost efficiencies across the various aspects such as: 


  1. Procurement: Sourcing, purchasing, and negotiating contracts for medical supplies, equipment, pharmaceuticals, and other necessary items.
  2. Inventory Management: Oversee inventory levels, including stock tracking, forecasting, and maintaining optimal levels to meet demand while minimizing excess.
  3. Logistics: Coordinate the transportation, distribution, and delivery of goods within the hospital, ensuring timely and efficient movement of supplies.
  4. Vendor Management: Develop and maintain relationships with suppliers, and lead a standard of contractual terms, ensuring quality, reliability, and cost-effectiveness.


Role and Day-to-Day Activities: With the broader functions in mind, day-to-day activities in this role include: 


  1. Planning and Forecasting: Analyze usage patterns and forecast demand for medical supplies and equipment to ensure adequate stock levels.
  2. Purchasing: Place orders with suppliers, negotiate contracts, and review bids to secure the best pricing and terms.
  3. Inventory Monitoring: Regularly monitor inventory levels, track usage, and identify potential shortages or excesses.
  4. Supplier Management: Communicate with suppliers to resolve issues, address concerns, and ensure timely delivery of goods.


Some Performance Indicators: To grow in this role, you are expected to demonstrate logical reasoning and critical thinking and develop or improve systems to 


  1. Ensure pharmacy items are available in the hospital at optimised cost.
  2. All hospital pharmacies are stocked at all times for indoor and outdoor consumers. 
  3. Have zero tolerance for dead-stock, therefore, timely return of near-expiry items. 
  4. Prepare a transparent and detailed audit process for both physical and data related to inventory management of pharmacy items. 
  5. Documenting and reporting regular status updates of the division, on the audit process and PDCA cycles.
  6. As a key expert on the team, you are expected to train your team in the processes led by and changes implemented by you in the department. 


Job Requirements:

  1. Master’s degree in supply chain management, operations, pharmacy, etc. (MBA preferred) or Bachelor's or Doctor of Pharmacy (Pharm.D.) degree from an accredited institution with proven experience in the relevant fields
  2. Preferred: Previous experience in pharmacy management or administration, preferably in a hospital setting.
  3. Strong understanding of pharmacy operations, including medication dispensing, compounding, and inventory management.
  4. Knowledge of billing and reimbursement processes, including insurance claims and coding procedures.
  5. Familiarity with healthcare regulations and compliance standards, particularly those related to pharmacy practice and billing practices.
  6. Excellent leadership, communication, and interpersonal skills.
  7. Proficiency in pharmacy software systems and computer applications.
  8. Ability to prioritise tasks, problem-solve, and work effectively in a fast-paced healthcare environment.
