Executive Assistant to Chief Executive Officer

Key Responsibilities
Administrative Support
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare and edit documents, presentations, and reports.
- Organize and maintain confidential files and records.
Communication
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, review, and send communications on behalf of the CEO.
- Facilitate effective communication between the CEO and plant personnel.
Project Coordination
- Assist in the planning and execution of projects and initiatives led by the CEO.
- Coordinate and prepare materials for meetings, including agendas, minutes, and follow-up actions.
- Track and manage project timelines and deliverables.
Interaction with Plant Personnel
- Regularly visit plant facilities to interact with personnel and understand operational processes.
- Gather and analyze information from plant interactions to prepare comprehensive reports for the CEO.
- Identify areas for improvement and provide recommendations based on engineering knowledge and plant feedback.
Data Analysis and Reporting
- Compile, analyze, and interpret data to assist the CEO in decision-making.
- Prepare detailed technical reports, summaries, and presentations based on data collected from plant personnel.
- Ensure accuracy and clarity in all reporting.
Qualifications:
- Bachelor’s Degree in Engineering (Mechanical, Electrical, Industrial, or related field preferred).
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Strong understanding of engineering principles and ability to engage with technical staff.
- Excellent organizational and time-management skills.
- Exceptional written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Strong analytical and problem-solving skills.
- Willingness to travel to plant locations as required.
