Executive Assistant to Chief Executive Officer

Key Responsibilities


Administrative Support

  1. Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  2. Screen and prioritize emails, phone calls, and correspondence.
  3. Prepare and edit documents, presentations, and reports.
  4. Organize and maintain confidential files and records.


Communication

  1. Serve as the primary point of contact between the CEO and internal/external stakeholders.
  2. Draft, review, and send communications on behalf of the CEO.
  3. Facilitate effective communication between the CEO and plant personnel.


Project Coordination

  1. Assist in the planning and execution of projects and initiatives led by the CEO.
  2. Coordinate and prepare materials for meetings, including agendas, minutes, and follow-up actions.
  3. Track and manage project timelines and deliverables.


Interaction with Plant Personnel

  1. Regularly visit plant facilities to interact with personnel and understand operational processes.
  2. Gather and analyze information from plant interactions to prepare comprehensive reports for the CEO.
  3. Identify areas for improvement and provide recommendations based on engineering knowledge and plant feedback.


Data Analysis and Reporting

  1. Compile, analyze, and interpret data to assist the CEO in decision-making.
  2. Prepare detailed technical reports, summaries, and presentations based on data collected from plant personnel.
  3. Ensure accuracy and clarity in all reporting.


Qualifications:


  • Bachelor’s Degree in Engineering (Mechanical, Electrical, Industrial, or related field preferred).
  • Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
  • Strong understanding of engineering principles and ability to engage with technical staff.
  • Excellent organizational and time-management skills.
  • Exceptional written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Strong analytical and problem-solving skills.
  • Willingness to travel to plant locations as required.
