Assistant Front Office Manager

Under the direction of the Front OfficeManager and within the limits of Accor policies and procedures tooversee and direct all aspects of front office operations.Responsible for supervision and coordination of Front Office healthand safety of staff and guests and for ensuring that all staff andguest issues are dealt with in an effective and timely manner. Toact in the Front Office Managers interest and as his/herrepresentative in their absence.
Essential Duties& Functions:
- Ensure/prepareweekly monthly forecasts as and when required and requested to doso.
- Create and implement procedures that aidthe smooth running of the department.
- Conductweekly and monthly departmentalmeetings.
- Implement/monitor availability in allreservations systems.
- Check on a daily basisthe arrivals and departure reports and VIP report and communicateto department heads including Front Office Managers all relevantinformation.
- Record any activities of interestor problems arising in the ManagementDiary.
- Ensure wakeup calls are madepromptly.
- Regularly review room availabilitysituations and guests to arrive.
- Records allguaranteed nonarrivals and submit a copy to the Asst. Front OfficeManager/Front Office Manager.
- Complete anddistribute all relevant forms in case of an accident or theftliaising with the Security department.
- Recordand hand over to Housekeeping or Security any lost or founditems.
- Check all credit card postings withinterface transfers on a daily basis.
- Check allguest country codes special codes promotions room rates and routinginstructions are entered correctly.
- Authorizeand sign paidouts vouchers and rebates issued byreception.
- Perform night audit duties asrequired by Policy and Procedures.
- Prepare taxilists in conjunction with security for late/earlystaff.
- Prepare recapitulation sheet forPlanning Committee.
- Deal with all incomingfaxes and inquiries after office hours.
- Ensureguest privacy and security respecting confidentialinformation.
Qualifications:
- High SchoolDiploma or equivalent required
- College Degreein Business Hospitality or Related fieldpreferred
- Experience in a public contactposition preferably in an upscale or lifestyle brandhotel
- Enter and locate work related informationusing computers and/or point of salesystems
- Possess a gracious friendly and fundemeanor
- Ability to multitask work in a fastpaced environment and have a high level attention todetail
- Strong verbal and written communicationskills in English
- Maintain positive andproductive working relationships with other employees anddepartments
- Ability to work independently andto partner with others to promote an environment ofteamwork
- Thorough knowledge of federal stateand local laws governing equal employment opportunity and civilrights occupational safety and health wage and hour issues andlaborrelations.
SpecificRequirements:
- ProvenSupervisory experience within a Front Office position within a 5*environment.
- Conversant with standard PCpackages and computerized systems
- Full commandof the English language.
- Ability to communicatewith customers and peers with a friendly and positiveattitude.
- Selfmotivated andflexible.
- Physicallyfit.
- Lively andenthusiastic.
- Ability to handle difficultsituationssuccessfully.
