Job Description

Job Summary:

The Manager of Lease Administration and Abstraction is responsible for overseeing the lease administration and abstraction team, ensuring accurate and timely abstraction of lease documents, maintaining lease databases, and managing critical lease data. This role requires a strong understanding of commercial real estate leases, exceptional attention to detail, and the ability to lead and motivate a team.

Key Responsibilities:

  1. Team Leadership and Management:
    • Supervise and lead the lease administration and abstraction team.
    • Provide training, guidance, and support to team members.
    • Conduct performance evaluations and manage career development for team members.
    • Ensure team members adhere to company policies and procedures.
  1. Lease Abstraction and Administration:
    • Oversee the abstraction of lease documents, including new leases, amendments, renewals, and terminations.
    • Ensure the accuracy and completeness of abstracted lease data.
    • Manage the maintenance of the lease database and ensure data integrity.
    • Review and approve lease abstracts prepared by the team.
  1. Data Management and Reporting:
    • Develop and maintain lease administration systems and databases.
    • Generate regular and ad-hoc reports on lease portfolio metrics.
    • Monitor critical lease dates (e.g., expirations, options, rent escalations) and ensure timely notifications.
  1. Lease Compliance and Audit:
    • Ensure compliance with lease terms and conditions.
    • Coordinate with legal, finance, and operations teams to resolve lease-related issues.
    • Assist in lease audits and coordinate with external auditors as required.
  1. Process Improvement:
    • Identify opportunities for process improvements and implement best practices.
    • Develop and update standard operating procedures for lease administration and abstraction.
    • Stay current with industry trends and technology advancements in lease administration.
  1. Stakeholder Communication:
    • Serve as the primary point of contact for lease administration matters.
    • Provide support during lease negotiations and ensure proper documentation.

Qualifications

  • Education:
    • Bachelor’s degree in Real Estate, Business Administration, or a related field. Advanced degree or professional certification (e.g., CPM, RPA) is a plus.
  • Experience:
    • Minimum of 5-7 years of experience in lease administration and abstraction, with at least 2 years in a supervisory or managerial role.
    • Strong knowledge of commercial real estate leases and related legal documents.
