About the Role

We are looking for a detail-oriented and disciplined
U.S. Bookkeeper
to join our accounting team. The ideal candidate will handle daily bookkeeping tasks for U.S.-based clients including bank reconciliations, AP/AR, payroll posting, month-end close, financial reporting, and communication with clients.

Candidates must be highly accurate, deadline-oriented, and comfortable working with accounting tools like
QuickBooks Online (QBO), Xero, , Gusto, ADP
, etc.

Key Responsibilities

  1. Daily & Weekly Tasks

  2. Maintain accurate books for U.S. clients using
    QuickBooks Online / Xero

  3. Categorize and reconcile bank & credit card transactions
  4. Manage Accounts Payable (AP) – bills, vendor payments, 3-way matching
  5. Manage Accounts Receivable (AR) – invoicing, customer follow-ups, receipts
  6. Record journal entries and maintain general ledger accuracy
  7. Enter expense receipts and create monthly expense summaries

  8. Process reimbursements and petty cash expenses

  9. Monthly Tasks

  10. Complete bank, credit card, PayPal, Stripe reconciliation

  11. Run monthly reports: P&L, Balance Sheet, AR Aging, AP Aging
  12. Prepare month-end closing
  13. Adjust entries for depreciation, prepaids, accruals, and deferred revenue

  14. Prepare cash flow statements (optional)

  15. Payroll & Compliance

  16. Verify payroll reports from
    Gusto, ADP, Paychex, QuickBooks Payroll

  17. Post payroll journal entries
  18. Maintain 1099 vendor records and W9 documentation

  19. Assist with sales tax summary preparation (if required)

  20. Client Interaction

  21. Communicate professionally with U.S. clients via email, Slack, or Zoom

  22. Provide weekly updates and clarify transaction queries
  23. Maintain strict confidentiality and data compliance

Required Skills & Qualifications

  • B.Com / M.Com / MBA (Finance) / CA Inter preferred
  • Knowledge of
    U.S. GAAP basics
  • Strong understanding of bookkeeping and accounting principles
  • Experienced with
    QuickBooks Online
    (mandatory for mid-level roles)
  • Excellent English communication (written & verbal)
  • Ability to work U.S. shift timings (partial overlap required)
  • High attention to detail, accuracy, and deadline management
  • Ability to work independently and under minimal supervision

Preferred (Good to Have)

  • Experience with U.S. clients or U.S. accounting processes
  • Experience using , Gusto, ADP, Paychex
  • Understanding of 1099s, W9s, 941/940 payroll forms
  • Experience with e-commerce bookkeeping (Amazon, Shopify, Stripe, PayPal)
  • Knowledge of sales tax basics (U.S. state tax)
  • Familiarity with accrual accounting
