Position Summary: (Please provide a brief summary of the overall purpose of this role):
- The Administration Officer is responsible for managing administrative operations during late hours, with a strong focus on coordinating travel logistics for associates and visitors. The role ensures smooth functioning of office activities, supports late shift teams, and maintains compliance with company policies and procedures. The officer also provides and general administrative support.
Primary Responsibilities/Accountabilities Of The Job (Please list and describe the most important duties of the role):
- Travel Management:
- Coordinate domestic and international travel bookings including flights, hotels, transport, and visa processing for all associates in India.
- Handle last-minute travel changes and emergencies during late hours.
- Maintain accurate travel records, itineraries, and expense documentation.
- Liaise with travel agencies and vendors to ensure cost-effective and timely arrangements.
- Administrative Support:
- Oversee general administrative operations during late hours.
- Maintain and update office records, logs, and databases.
- Prepare and circulate handover reports for the day shift team.
Respond to internal and external communications (emails, calls, messages).
Facility & Safety Oversight:
- Monitor office premises for safety and security compliance.
- Coordinate with facility management for late-time maintenance or emergencies.
- Ensure adherence to workplace safety protocols.
- Team Coordination:
- Support staff with travel related documentation, reporting, and resource needs.
- Assist in admin related onboarding and orientation for all associates.
- Escalate operational issues to relevant departments or managers as needed.
Office Premise
- To audit and report issues to the building management office for repairing the A.C. system, lighting, lifts & washrooms and follow up on closure
- To ensure workplace cleanliness and arrange repairing works with contractor/service provider.
Others
- To render clerical support to Admin Dept
- To assist in organizing sample sales
- To assist follow up office renovation & defects
- Any other duties as assigned by manager
Qualifications & Skills:
- Bachelor's degree in Business Administration, Travel & Tourism, or related field (preferred).
- Minimum 3-5 years of experience in administration and travel coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office and travel management software/tools.
- Ability to work independently and handle high-pressure situations.
