Position Overview:
The Back Office Executive (Offer Submission & Documentation) will be responsible for preparing, managing, and submitting technical and commercial offers, maintaining customer documentation, coordinating with internal teams, and supporting the sales and commercial functions. The ideal candidate must have prior experience in the steel sector, strong analytical skills, and excellent documentation accuracy.
Key Responsibilities:1. Offer Preparation & Submission:
- Prepare and submit quotations, offers, and tenders as per customer requirements.
- Coordinate with the sales and technical teams for pricing, product specifications, and delivery terms.
- Ensure accuracy of technical details related to steel grades, sizes, quality standards, and material specifications.
- Follow up with customers on submitted offers and update offer trackers.
2. Documentation Management:
- Maintain all sales-related documents including POs, delivery challans, test certificates, invoices, and correspondence.
- Prepare documentation for dispatch, order processing, and payment follow-up.
- Ensure all documents comply with internal SOPs and industry requirements.
- Manage digital and physical filing of all documents for audit and reference.
3. Coordination & Support:
- Work closely with Sales, Production, QC, and Accounts teams for order execution.
- Assist in preparing MIS reports, order status updates, and customer databases.
- Track and update daily offers, order logs, and customer communication records.
4. Industry-Specific Knowledge:
- Must have strong understanding of steel grades, dimensions, standards (IS/ASTM/EN), weight calculations, and product applications.
- Knowledge of steel pricing trends, competitor offerings, and customer requirements.
- Ability to verify technical documents such as Mill Test Certificates, QA/QC reports, and material specifications.
Required Skills & Qualifications:
- Graduate/ Diploma (preferred in Mechanical/ Metallurgy/ Commerce).
- Minimum 2–5 years experience in steel industry back-office or documentation roles.
- Excellent MS Office skills (Excel, Word, PowerPoint).
- Strong communication and documentation accuracy.
- Ability to work under pressure and meet submission deadlines.
- Knowledge of ERP/ CRM systems preferred.
