Executive Assistant/Office Manager to COO

Key Responsibilities:Administrative Support
- Manage complex calendars, schedule meetings, and coordinate appointments
- Organize and prioritize incoming communications (emails, phone calls, memos)
- Prepare and format internal and external documents and presentations
- Maintain filing systems and ensure the confidentiality of sensitive information
Meeting & Event Coordination
- Arrange and coordinate executive meetings, board meetings, off-sites, and company events
- Prepare meeting agendas, record minutes, and track action items
- Coordinate travel arrangements including flights, accommodations, and itineraries
Communication & Liaison
- Serve as the point of contact between management and internal/external stakeholders
- Draft correspondence, reports, and other communications on behalf of executives
- Represent leadership in a professional manner across all levels of the organization
Project & Task Management
- Assist in the planning and execution of strategic projects
- Track deadlines, follow up on deliverables, and provide status updates
- Conduct research and compile data to support decision-making
Qualifications:
- Bachelor's degree in Business Administration, Communications, or related field (preferred)
- 3+ years of experience in a similar executive support role
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficient in Microsoft Office Suite, Google Workspace, and productivity tools
- High level of discretion and professionalism
- Ability to adapt quickly and handle confidential information
