Role & responsibilities
- Visitor Management: Greet, welcome, and assist all guests and clients in a friendly and professional manner.
- Communication Handling: Answer, screen, and forward incoming phone calls, take messages, and handle basic inquiries via phone or email.
- Reception Area Oversight: Ensure the front desk and reception area remain tidy, presentable, and equipped with necessary materials.
- Mail and Deliveries: Receive, sort, and distribute daily incoming mail, packages, and deliveries, as well as prepare outgoing correspondence.
- Scheduling and Coordination: Update calendars, schedule appointments, meetings, and events, and coordinate with other departments to ensure efficient operations.
- Administrative Support: Perform various clerical tasks such as filing, photocopying, scanning, data entry, and maintaining accurate records and files.
- Office Supplies Management: Monitor and maintain an inventory of office supplies and place orders for replacements when necessary.
- Security and Procedures: Maintain office security by following safety procedures and controlling access via the reception desk, such as maintaining visitor logs and issuing badges
