Job Description:

A Personal Assistant (PA) to a Director provides administrative support by managing schedules, coordinating meetings and travel, and handling correspondence and communications. Key responsibilities include preparing documents and reports, liaising with internal and external stakeholders, and maintaining confidential records to ensure the director's daily operations run smoothly. 
 
Core responsibilities
  • Diary and schedule management: Manage the director's calendar, schedule appointments, and manage access to the director.
  • Communication: Handle correspondence, emails, and phone calls, acting as a point of contact and liaising with internal departments and external stakeholders.
  • Meeting coordination: Prepare agendas, organize meeting materials, and take minutes.
  • Travel and logistics: Arrange and book travel, accommodation, and transportation for the director.
  • Document preparation: Draft, edit, and proofread documents, reports, and presentations.
  • Project and event support: Assist with project management, event planning, and other miscellaneous tasks.
  • Administrative duties: Maintain confidential records and filing systems, manage databases, and implement administrative systems.
