Job Description: We are looking for a reliable and organised Admin Assistant who can manage daily office operations across two floors. The person should be disciplined, proactive, and capable of supporting staff, coordinating vendors, ensuring cleanliness, and keeping the office running smoothly.This role is ideal for someone who has worked in office administration, front desk coordination, back office operations, or facility support, and wants a stable, long-term role.
Core Responsibilities: This person becomes the central point of admin coordination:
- Admin & Office Management
- Manage attendance, leave records, ID cards
- Maintain office supplies
- Manage meeting rooms
- Maintain inventory (stationery, cleaning material, pantry items)
- Coordinate AMC, repairs, vendors (printer, AC, water purifier, etc.)
- Basic data entry (Zoho, Excel, visitor log)
- Staff Support
- Handle staff requests (electrician, water, stationery, small requirements)
- Coordinate with peon to assign daily work
- Reduce dependency on you for small tasks
- Vendor & Purchase
- Call vendors for repairs
- Obtain quotations
- Manage courier, parcels, inventories
- Keep track of coffee, tea, sugar, milk stock
- HR & Admin Basic Tasks
- Maintain joining kits (bag, ID card, documents)
- Handle birthdays, events, celebrations
- Basic record keeping
Technical Skills:
- MS Excel & MS Office (basic level required)
- Experience with office housekeeping and vendor coordination
- Basic troubleshooting of printers, Wi-Fi, and common office equipment
Personal Qualities:
- Reliable, disciplined, punctual
- Strong organisational and follow-up skills
- Calm and polite in dealing with staff
- Ability to multitask and prioritise
- Problem-solving attitude — not waiting for instructions
- Trustworthy with confidential information
Educational Qualification:
- Minimum 12th Pass
- Graduate preferred
- Admin/Back office experience is an advantage
