We are seeking a detail-oriented and proactive Backend Operations Manager to oversee critical behind-the-scenes functions that ensure smooth store operations, efficient resource allocation, and team excellence.

Job Summary

The Backend Operations Manager will be responsible for managing key operational aspects including quality assurance, procurement, hiring, and checklist compliance across all stores and cities. This role requires strong organizational skills, analytical thinking, and the ability to collaborate with cross-functional teams to optimize backend processes, reduce inefficiencies, and support business growth. The ideal candidate will thrive in a fast-paced environment and have a proven track record in operations management within retail or similar industries.

Key Responsibilities

Quality Reporting for All Stores and Cities

:

• Develop and implement comprehensive quality control systems to monitor and evaluate product, service, and operational standards across all store locations in multiple cities.

• Generate regular reports on quality metrics, including defect rates, customer feedback analysis, compliance audits, and performance benchmarks, using data analytics tools to identify trends and areas for improvement.

• Collaborate with store managers and regional teams to address quality issues promptly, conduct root-cause analyses for discrepancies, and recommend corrective actions to maintain consistent high standards.

• Ensure all quality reports are accurate, timely, and distributed to senior leadership, while tracking key performance indicators (KPIs) to drive continuous quality enhancements.

Procurement Management to Ensure All Materials Are Dispatched to Stores

:

• Oversee the end-to-end procurement process, including vendor selection, negotiation of contracts, and inventory forecasting to secure high-quality materials at competitive prices.

• Manage supplier relationships and monitor supply chain logistics to guarantee timely dispatch and delivery of materials, equipment, and supplies to all stores, minimizing stockouts and delays.

• Implement inventory management systems to track stock levels, optimize reorder points, and reduce waste, while ensuring compliance with procurement policies, budgets, and regulatory requirements.

• Coordinate with logistics partners to resolve any dispatch issues, conduct regular audits of procurement activities, and develop contingency plans for supply chain disruptions.

Hiring

:

• Lead the recruitment process for backend operations staff, store personnel, and support roles, including creating job postings, screening resumes, conducting interviews, and making hiring recommendations.

• Develop and execute onboarding programs to ensure new hires are trained effectively on company policies, operational procedures, and role-specific responsibilities.

• Collaborate with HR to maintain compliance with employment laws, diversity initiatives, and performance management, while building a talent pipeline for future needs.

• Track hiring metrics such as time-to-fill, retention rates, and employee satisfaction to refine recruitment strategies and support workforce planning.

Checklist Management and camera audits

:

• Design, update, and enforce operational checklists for daily, weekly, and monthly tasks across all stores, ensuring they cover areas like inventory checks, safety protocols, maintenance, and compliance requirements.

• Monitor adherence to checklists through regular audits and digital tracking tools, providing training and feedback to teams to improve completion rates and accuracy.

• Analyze checklist data to identify operational bottlenecks, streamline processes, and implement improvements that enhance efficiency and reduce errors.

• Coordinate with department heads to customize checklists for specific store needs or seasonal demands, while maintaining a centralized system for version control and reporting.

Required Qualifications

• Bachelor's degree in Business Administration, Operations Management, Supply Chain, or a related field;

• years of experience in operations management, preferably in retail, logistics, or multi-location business environments.

• Proven expertise in quality assurance, procurement, recruitment, and process optimization.

• Strong proficiency in data analysis tools (e.g., Excel, Google Sheets) and familiarity with ERP or inventory management software.
