Executive Assistant to HEAD OF SCHOOL

The Executive Assistant to the Head of School (HOS) works directly under the leadership of the HoS and plays a key role in ensuring the smooth and efficient operation of the school. This position provides essential support by coordinating daily affairs, managing communication channels, supervising the reception area, and delivering administrative assistance. The Executive Assistant is expected to be proactive, anticipate needs, and manage details to provide professional and efficient support for students, faculty, parents, and external partners, while assisting the HoS in advancing both strategic goals and daily management.
Key Responsibilities
- Administrative support: Manage the Head of School's calendar, schedule meetings, prepare agendas, and draft correspondence.
- Communication management: Serve as the first point of contact for internal and external stakeholders; screen calls, emails, and visitors.
- Confidentiality & compliance: Handle sensitive information with discretion; maintain strict confidentiality in all matters.
- Event coordination: Assist in planning school events, board meetings, and leadership team gatherings; prepare materials and logistics.
- Documentation: Maintain records, prepare reports, and ensure timely distribution of meeting minutes and updates.
- Vendor & partner liaison: Coordinate with external vendors, consultants, and partner organizations as directed by the HOS.
- Financial support: Assist with expense tracking, reimbursements, and budget-related documentation when required.
- Reception oversight: Supervise the reception area to ensure visitors are welcomed appropriately and security protocols are followed.

Qualifications
- Education: Bachelor's degree preferred; relevant certification in administration or management is a plus.
- Experience: Minimum 3–7 years of experience in executive support, preferably in an educational or nonprofit setting.
- Skills:
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills
- Proficiency in MS Office Suite and school management systems, Technical proficiency is a must.
- Ability to work independently and collaboratively
- High level of professionalism and discretion
Job Type: Full-time
Pay: ₹35, ₹75,000.00 per month
