**Job Overview**:
The Receptionist at Srimati Jayadevi Memorial Hospital serves as the first point of contact for patients, visitors, and staff. This role requires exceptional customer service skills and the ability to manage a variety of administrative tasks in a busy healthcare environment. The Receptionist ensures smooth operation of the front desk, handles patient check-ins, directs inquiries, and supports hospital operations with administrative duties.
**Key Responsibilities**:
- **Patient & Visitor Interaction**:
- Greet all patients, visitors, and staff with a courteous, professional demeanor.
- Provide clear and accurate information about hospital services, facilities, and visiting hours.
- Direct patients to the appropriate departments, clinics, or waiting areas.
- Handle patient check-in and check-out, including verifying personal details and medical information.
- Assist with scheduling appointments, confirming bookings, and updating patient records.
- **Telephone & Communication**:
- Answer incoming calls promptly, providing information and redirecting calls as needed.
- Take accurate messages and ensure timely communication with relevant staff or departments.
- Assist patients with inquiries regarding insurance, billing, and hospital policies.
- **Administrative Support**:
- Assist in managing the hospital’s front desk area, ensuring cleanliness and organization.
- Enter patient details into the hospital’s Electronic Health Record (EHR) system.
- Coordinate patient appointments, follow-ups, and referrals with appropriate departments.
- Manage filing, photocopying, faxing, and sorting of documents as needed.
- Ensure all patient forms are completed and filed correctly.
- Handle basic administrative tasks, including mail sorting and maintaining office supplies.
- **Coordination with Medical Staff**:
- Notify healthcare providers and departments of patient arrivals, changes to schedules, or urgent matters.
- Assist patients in filling out necessary forms, ensuring they meet the required documentation standards.
- Help facilitate patient transport to different areas of the hospital, such as diagnostic or inpatient units.
- **Visitor & Patient Safety**:
- Ensure that hospital visitors follow safety protocols, such as sign-in procedures and visiting hours.
- Notify hospital security of any unusual or unauthorized activity in the front desk area.
- Assist patients in emergencies by directing them to appropriate areas or personnel.
- **Record Maintenance**:
- Maintain confidentiality of all patient information in compliance with Srimati Jayadevi Memorial Hospital's privacy policies.
- Update and maintain accurate patient records, ensuring that information is current and accessible to relevant staff members.
- **Emergency Protocol**:
- Respond to emergency situations calmly and according to hospital protocols.
- Direct patients and visitors to safe locations as necessary in case of emergencies or evacuations.
- **Other Duties as Assigned**:
- Perform any other tasks or special projects as assigned by the Office Manager or Front Desk Supervisor to support hospital operations.
**Qualifications**:
- **Education**:
- High school diploma or equivalent required.
- **Experience**:
- Minimum of 1-2 years of experience as a receptionist or in a customer-facing role, preferably in a healthcare setting.
- **Skills and Competencies**:
- Excellent communication and interpersonal skills with a focus on customer service.
- Ability to handle multiple tasks efficiently and professionally in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other office equipment (fax, phone systems, photocopiers).
- Knowledge of medical terminology is an asset but not required.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and adhere regulations.
- Calm and effective problem-solving skills, particularly in stressful situations.
- **Language Skills**:
- Fluency in English, Kannada, Hindi etc. preferred.
- Ability to communicate with diverse patient populations.
**Physical Requirements**:
- Ability to sit or stand for extended periods of time.
- Ability to lift light office equipment and materials up to 10-15 pounds (e.g., filing, office supplies).
- Ability to manage a high volume of patient inquiries and visitors in a busy hospital setting.
**Work Environment**:
- The receptionist will work in a busy, dynamic hospital environment where multitasking and professionalism are key.
