**Job Summary**:
The Admin Executive will play a key role in the efficient operation of the school by managing administrative tasks, coordinating with staff, students, and parents, and providing general support to the academic and non-academic teams. The individual will assist with the smooth functioning of school operations, ensuring that all administrative duties are performed in a timely, organized, and effective manner.
**Key Responsibilities**:
**Administrative Support**:
- Oversee daily office operations, ensuring efficiency and organization.
- Manage school calendars, schedule appointments, and coordinate meetings.
- Prepare and maintain documents, reports, and presentations.
- Maintain records for students, teachers, and other staff members.
- **Student Admissions & Enrollment**:
- Assist in the processing of student admissions and registrations.
- Coordinate with prospective parents, guiding them through the admission process.
- Maintain student files and update personal and academic details regularly.
- **Communication & Liaison**:
- Act as a liaison between the school administration, staff, students, and parents.
- Communicate important notices and school updates to parents and staff.
- Respond to queries and requests in a timely and professional manner.
- **Event & Activity Coordination**:
- Assist with the organization of school events, parent-teacher meetings, workshops, and extracurricular activities.
- Help in preparing and distributing event materials and agendas.
- Coordinate logistics for school events, including venue setup, registration, and catering, when necessary.
- **Document Management**:
- Ensure proper filing and storage of administrative documents, both digitally and physically.
- Maintain school databases, ensuring accuracy and confidentiality of student information.
- **Inventory & Supplies Management**:
- Monitor office supplies and stationery inventory, ensuring timely procurement.
- Track the usage of educational materials and coordinate with vendors for replenishment.
- **Financial Administration**:
- Assist with fee collection, invoicing, and maintaining financial records.
- Support in managing petty cash and financial documentation for the school.
- **HR Support**:
- Assist with the onboarding process for new staff members, including documentation and orientation.
- Track employee attendance and leave records.
**Skills & Qualifications**:
- **Education**: A minimum of a Bachelor’s degree in any relevant field.
- **Experience**: Previous administrative experience in a school or educational setting is preferred.
- **Skills**:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with school management software.
- Ability to multitask and prioritize work effectively.
- High level of attention to detail.
- Strong interpersonal and problem-solving skills.
- Discretion and confidentiality in handling sensitive information.
