Location: US timing (6.30PM to 3.30AM IST )

Position Overview
The Client Service Coordinator is responsible for managing client onboarding, scheduling, and communication processes to ensure a seamless experience for all clients. This role supports the firm’s operational efficiency through coordination of projects, document management, and assistance with billing activities. The position functions primarily in a remote capacity, with periodic in-office work required to handle physical client documentation.
Key Responsibilities
- Serve as the primary point of contact for client scheduling, timelines, and general inquiries.
- Manage the client onboarding process, ensuring accuracy and timely setup in all firm systems.
- Coordinate project progress using project management tools, including tracking deliverables and deadlines.
- Schedule quarterly client check-ins and other ongoing appointments.
- Prepare and manage client engagement letters using designated engagement software.
- Support the billing process by generating invoices and tracking outstanding payments.
- Answer and route incoming phone calls, including screening new client inquiries.
- Maintain and update client information in firm databases with accuracy and confidentiality.
- Scan and organize physical client documents into the firm’s digital record system.
- Collaborate with professional staff to anticipate client needs and deliver consistent, high-quality service.
**Qualifications**:
- Minimum 2 years of experience in client service, office administration, or coordination roles (experience in a CPA or financial services firm preferred).
- Strong organizational and time management skills with ability to meet multiple deadlines.
- Excellent verbal and written communication skills with professional telephone etiquette.
- Proficiency with technology, including CRM and project management software; ability to learn new systems quickly.
- High attention to detail and ability to maintain discretion and confidentiality.
- Proactive, self-motivated, and capable of working independently in a remote environment.
