Position Overview:
The Office Administrator will play a key role in ensuring the smooth running of our Chennai office. This individual will be responsible for handling administrative tasks, office management, and providing support to different teams within the organization. The ideal candidate will be highly organized, proactive, and have strong interpersonal skills to help create a positive and efficient work environment.
Key Responsibilities:
- Office Management: Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities.
- Reception Duties: Greet and assist visitors, clients, and vendors. Manage incoming and outgoing calls, emails, and mail.
- Scheduling & Coordination: Organize meetings, book conference rooms, and schedule appointments. Assist with travel arrangements when necessary.
- Administrative Support: Provide support to management and staff with various administrative tasks such as filing, document preparation, and data entry.
- Vendor Management: Liaise with office vendors for maintenance, supplies, and services to ensure the office operates smoothly.
- Event Coordination: Assist in planning and organizing office events, team-building activities, and company meetings.
- Compliance & Documentation: Maintain records and ensure compliance with company policies and local regulations.
- HR Assistance: Support HR with onboarding new employees, maintaining personnel files, and managing attendance records.
- Finance Assistance: Assist the finance team with petty cash management, invoice processing, and preparing expense reports.
Qualifications & Skills:
- Education: A Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
- Experience: 2+ years of experience in office administration or a similar role. Experience in a fast-paced legal or technology environment is a plus.
- Communication Skills: Excellent verbal and written communication skills in English. Proficiency in Tamil and/or Hindi is an added advantage.
- Organizational Skills: Strong attention to detail and ability to multitask effectively.
- Tech-Savvy: Proficiency with MS Office (Word, Excel, Outlook) and experience with office management software. Familiarity with CRM systems and Google Workspace is beneficial.
- Problem-Solving: Proactive approach with strong problem-solving skills and the ability to work independently.
- Team Player: Collaborative mindset with the ability to build positive relationships across the organization.
