Position Summary

The Project Coordinator will support Project Managers in executing projects by handling essential coordination and administrative tasks. This role requires a proactive individual with exceptional organizational skills to manage project documentation, update CRM tools, facilitate collaboration among internal teams, and coordinate with external stakeholders such as suppliers, customers, and contractors. The ideal candidate will act as the central hub for seamless communication and alignment across all project activities.

Core Responsibilities

Project Documentation and Reporting

• Maintain and organize project documentation, including engineering documents, contracts, permits, and status reports.
• Prepare meeting minutes, progress summaries, and follow-up action items.
• Ensure all project records are up to date and accessible to relevant stakeholders.

CRM and Data Management

• Update and maintain accurate project information in CRM and project management tools.
• Track key project milestones and deadlines in the system to assist Project Managers with monitoring progress.
• Prepare monthly invoicing summary from the CRM boards.
• Generate reports and analytics from CRM to support decision-making processes.

Team Collaboration and Coordination

• Facilitate communication and collaboration between engineering, development, procurement and supply chain management teams.
• Schedule and manage cross-functional meetings, ensuring timely follow-ups on agreed actions.
• Assist in resource allocation and track deliverables from team members.

Support for Project Managers

• Assist Project Managers in tracking project timelines, budgets, and deliverables.
• Identify and escalate potential risks, delays, or issues to Project Managers for resolution.
• Provide administrative and analytical support to ensure smooth project execution.

Quality Assurance and Compliance

• Ensure all project processes comply with organizational standards and regulatory requirements.
• Support quality control initiatives by coordinating with relevant teams and stakeholders.

Process Improvement

• Identify opportunities to improve coordination processes and documentation workflows.
• Recommend and implement best practices to streamline collaboration across departments.

Document Control

• Define and maintain folder structures in SharePoint, ensuring proper organization for document storage and retrieval.
• Develop and maintain a document management system for organizing both digital and physical documents.
• Define and implement file naming conventions and instruct the team on consistent usage for easy document identification and access.
• Control document versions, ensuring changes are tracked accurately, with proper revision history maintained.
• Ensure compliance with company policies and regulations regarding document retention and confidentiality.
• Provide support for project documentation, including reviewing, approving, and archiving documents as required.
• Assist in auditing document control procedures and implementing improvements as needed.

Education Requirements

Bachelors/master’s degree in electrical/mechanical engineering

Technical Skills and Experience

Software Proficiency:

Mandatory

• MS Office
• Advanced Excel.
• Any CRM tool

Project Management:

• Experience in managing design projects from conception to implementation
• Ability to coordinate with project managers, engineers, development teams and stakeholders.

Renewable Energy Systems:

Understanding of solar energy systems and their integration into existing infrastructure

Experience

At least 2 years of relevant experience in the Solar Sector. (Consultancy experience is highly preferred).

Psychosocial Skills /Human Skills/Behavioural Skills

• Strong analytical, organizational, and problem-solving skills.
• Project Management experience a plus.
• Entrepreneurial mindset with the ability to take ideas and run with them from concept to conclusion.
• Technical understanding of clean energy business processes
• Exceptional verbal and writing communication skills with superiors, peers, partners, and other stakeholders.
• Excellent interpersonal skills while managing multiple priorities in a fast-paced and ever-changing environment.
