Executive assistant to joint managing director

Purpose: The Executive Assistant (EA) to the Joint MD will play a critical role in supporting the Joint MD in driving business objectives and ensuring smooth execution of strategic initiatives. This high-impact role involves closely shadowing the Joint MD, participating in key meetings, taking minutes, and following through on the implementation of decisions. The EA will also be responsible for coordinating and tracking special projects, preparing reports and dashboards, and representing the Joint MD in meetings when necessary.
Key Responsibilities:
1. Meeting Coordination & Follow-up:
o Attend meetings with the Joint MD, record detailed minutes, and ensure timely follow-up on action items.
o Ensure that decisions made during meetings are implemented by tracking progress and coordinating with various stakeholders.
2. Special Project Management:
o Oversee special projects assigned by the Joint MD, from inception to completion.
o Develop and maintain progress reports and dashboards to keep the Joint MD updated on project status.
3. Representation:
o Act as the representative of the Joint MD in meetings or events that the Joint MD cannot attend.
o Confidently manage interactions with senior internal and external stakeholders on behalf of the Joint MD.
4. Business Acumen Development:
o Gain a deep understanding of the Group’s diverse businesses and the dynamics of the packaging industry.
o Build knowledge of the external ecosystem, including competitors, market trends, and regulatory environment.
5. Communication & Reporting:
o Prepare executive-level reports, presentations, and briefs for the Joint MD.
o Develop effective communication channels within the organization to ensure alignment on the Joint MD’s directives.
6. Stakeholder Management:
o Manage relationships with senior management, external partners, and other key stakeholders, ensuring seamless communication and alignment with the Joint MD’s goals.
7. Miscellaneous Responsibilities:
o Act as a sounding board for the Joint MD, providing insights and feedback on various business matters.
Qualifications and Experience:
• BTech + MBA from a premier institute.
• Proven ability to work in a fast-paced, high-pressure environment.
• Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
• Exceptional oral and written communication skills, with the ability to create impactful reports and presentations.
• A "Can-Do" attitude with the ambition to go the extra mile to ensure success.
• Ability to represent the Joint MD with confidence and credibility.
• Prior experience in roles requiring strategic thinking and project management is preferred.
