Administrative Governance Specialist

As a compliance administrator, you will play a pivotal role in ensuring the organization's adherence to regulatory requirements and industry standards.

The ideal candidate will have experience in an administrative or compliance support role (3–5 years) with exceptional organizational skills, attention to detail, and record-keeping. You should be familiar with data protection principles under GDPR, competent in using Microsoft Office (Word, Excel, Outlook, Teams), and aware of cybersecurity risks and controls.

Key responsibilities include:

  • Assisting the head of compliance in managing daily operations and obligations related to OfS and GDPR.
  • Maintaining compliance trackers and logs, such as risk registers, GDPR incident logs, training completion logs, and policy review calendars.
  • Monitoring deadlines and ensuring timely submission of statutory returns or compliance actions.

You will also be responsible for maintaining accurate records of data processing activities, data breaches, subject rights requests, policy reviews, and updates. Additionally, you will draft, format, and publish internal policies and procedures.

Supporting the handling of Data Subject Access Requests (DSARs), ensuring all records of consent, privacy notices, and data processing agreements are properly archived and accessible. You will log and escalate privacy concerns to the Compliance Head as appropriate.

Collating documentation and evidence for internal and external audits or inspections, generating monthly and quarterly compliance status reports and dashboards for internal use, and monitoring and reporting on completion rates of mandatory compliance training.

Furthermore, you will coordinate with various departments to gather compliance inputs, work with the IT team to track cybersecurity compliance measures, and communicate new policies, updates, or alerts across departments.
