
Front Office Coordinator

- We greet and welcome visitors, clients, or patients in a friendly and professional manner.
- We maintain a clean and organized reception area.
- We manage visitor logbooks, ID issuance, and ensure proper entry protocols.
- We answer, screen, and forward incoming phone calls to appropriate departments.
- We handle basic inquiries and provide accurate information.
- We take and relay messages or emails when staff are unavailable.
- We manage appointment bookings, rescheduling, and calendar coordination for clinics, offices, or executives.
- We notify staff of scheduled meetings or walk-in visitors.
- We ensure meeting rooms are prepared and reserved as needed.
- We receive, sort, and distribute incoming mail, parcels, and courier packages.
- We assist with basic data entry, filing, photocopying, and document preparation.
- We maintain office supplies inventory at the front desk area.
- We provide excellent service to all guests and internal employees.
- We handle complaints or direct concerns to the appropriate team quickly.
- We support event coordination or visitor hospitality when required.
Essential:
- We require a minimum 12th pass / High School graduate.
- We need 1–3 years of experience in a front office or receptionist role.
- We expect basic computer skills (MS Office, email, internet).
Desirable:
- A Graduate in any discipline is desirable.
- Experience with EPABX systems, appointment software, or hospital front desk systems is beneficial.
- Fluency in English and [local language] is an advantage.
- Excellent verbal and written communication skills are essential.
- A pleasant personality and professional appearance are necessary.
- Strong interpersonal and customer service orientation are key.
- Good organizational and multitasking skills are required.
- The ability to remain calm under pressure is crucial.
