Facilities Operations Manager

Job Summary:
Indkal Technologies Pvt Ltd seeks an experienced Administrative Manager to oversee the day-to-day operations of the office environment. This role requires a proactive individual with strong administrative skills, excellent communication abilities, and proven leadership experience.
Key Responsibilities:
- Office Management:
• Ensure efficient management of the office environment, including cleanliness, security, and functionality.
• Supervise office layout and seating arrangements, ensuring compliance with health, safety, and ergonomic standards.
• Oversee building and facility maintenance, including HVAC, plumbing, electrical systems, and liaise with facility management vendors. - Vendor Management and Procurement:
• Identify and engage reliable vendors for facility maintenance, office supplies, IT equipment, and other administrative needs.
• Negotiate contracts and manage vendor agreements to ensure cost-effective services and timely delivery of resources. - Budgeting and Cost Control:
• Prepare, manage, and monitor the annual budget for the administration department, ensuring cost-effectiveness and adherence to budgetary guidelines.
• Track monthly administrative expenditures, identify cost-saving opportunities, and adjust budgets as needed. - Employee Services and Welfare:
• Handle seating arrangements, parking space distribution, and access control to maintain a smooth workspace experience.
• Address employee grievances related to facility or administrative services, ensuring a responsive and supportive environment. - Security and Safety Compliance:
• Establish and maintain security protocols for the office premises, including CCTV surveillance, ID access controls, and visitor management.
• Develop and enforce safety policies to comply with local laws and regulations, ensuring a safe working environment for all employees. - Travel and Event Management:
• Oversee and coordinate domestic and international travel arrangements, including flight bookings, accommodations, and ground transportation. - Compliance and Documentation:
• Ensure all legal and regulatory documents are filed, and monitor compliance with relevant laws and regulations. - Team Management and Leadership:
• Lead, train, and supervise the administrative team, including office assistants, facility coordinators, and other support staff. - Technology and Process Improvement:
• Leverage technology and digital tools to streamline administrative processes and improve productivity.
Requirements:
• Bachelor's degree in Business Administration, Management, or a related field.
• At least 5-7 years of experience in office administration or facility management, with at least 3 years in a managerial role.
• Proven experience in vendor management, budget control, and office management within a mid-to-large-sized organization.
