Job Overview

The Strategic Operations Director to the CEO will serve as a key advisor, project lead, and executive liaison to the CEO. This role is responsible for streamlining operations, managing high-impact projects, and ensuring effective communication and execution of the CEO's vision across all levels of the organization.

This is a highly visible position that requires a proactive mindset, excellent organizational skills, and the ability to handle confidential matters with discretion.

Main Responsibilities

Strategic Planning and Support:

  • Collaborate with the CEO to develop and execute strategic initiatives, tracking progress and ensuring alignment with company objectives.
  • Provide high-level advice and insights into company operations and external trends, supporting informed decision-making.
  • Prepare materials for key meetings, including reports, presentations, and agendas, ensuring the CEO is well-informed on critical issues.

Project Management:

  • Lead cross-functional initiatives to ensure timely and effective execution of the CEO's priorities, fostering collaboration and accountability across departments.
  • Manage high-impact special projects as directed by the CEO, ensuring they align with overall business goals.
  • Serve as a liaison between the CEO's office and various departments, ensuring project updates are communicated effectively and any issues are escalated when needed.

Executive Communication:

  • Draft, review, and edit correspondence, reports, and presentations on behalf of the CEO, maintaining a consistent tone and style.
  • Ensure clear and consistent communication between the CEO's office and stakeholders, both internal and external, maintaining confidentiality as required.
  • Facilitate internal communications by preparing internal memos, emails, and talking points for the CEO, promoting transparency and information sharing.

Operational Efficiency:

  • Oversee the CEO's daily schedule, ensuring optimal use of time by prioritizing meetings and engagements, minimizing downtime and maximizing productivity.
  • Coordinate executive team meetings, offsites, and other critical company-wide events, ensuring follow-ups are completed and action items are recorded.
  • Implement and refine office processes and workflows to improve operational efficiency in the CEO's office, eliminating inefficiencies and reducing costs.

Stakeholder Management:

  • Act as a primary point of contact for external stakeholders, including clients, partners, and investors, managing relationships on behalf of the CEO and building strong partnerships.
  • Represent the CEO in meetings, where appropriate, ensuring that action items are recorded and communicated, and fostering open dialogue.
  • Coordinate with external advisors, such as legal teams, auditors, or consultants, ensuring their collaboration aligns with the CEO's priorities.

Administrative Support:

  • Handle administrative tasks including calendar management, travel arrangements, and expense reports for the CEO, maintaining accuracy and attention to detail.
  • Manage sensitive information with discretion, maintaining confidentiality at all times and upholding the CEO's trust.
  • Ensure the CEO's office is organized, with all documents and materials easily accessible and up-to-date, optimizing productivity and efficiency.
Required Skills and Qualifications

Education: Bachelor's degree in business administration, management, or a related field (Master's preferred).

Experience: 5+ years in a senior project management, executive assistant, or strategy role, ideally in a fast-paced corporate environment.

Skills:

  • Strong analytical and problem-solving abilities, with experience handling complex projects and making informed decisions.
  • Exceptional communication skills, both written and verbal, with a demonstrated ability to present ideas clearly and concisely.
  • Proven ability to work well under pressure, meet deadlines, and multitask effectively, prioritizing tasks and managing time efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and other project management tools, leveraging technology to streamline processes and enhance productivity.
  • Highly organized and detail-oriented, with a proactive and adaptable attitude, embracing change and continuous improvement.

Estimated Salary:

$120,000 - $180,000 per year, depending on experience and qualifications.
