Key Responsibilities:
- Greeting and Welcoming Visitors: Ensure a positive first impression by providing a warm welcome to visitors and creating a professional atmosphere.
- Answering and Directing Calls: Manage incoming calls, directing them to the appropriate person or department, and taking messages as needed.
- Front Desk Operations: Maintain a clean and organized front desk area, ensuring all necessary supplies are stocked and available.
- Scheduling Appointments and Meetings: Coordinate meeting times, reschedule appointments, and prepare meeting rooms for employees or executives.
- Mail and Delivery Management: Receive, sort, and distribute incoming mail, packages, and deliveries promptly.
- Providing Information and Assistance: Serve as a source of information for visitors and callers, providing general information about the organization, products, services, and location.
- Visitor Logs and Tracking: Maintain accurate visitor logs or sign-in sheets to monitor who enters and leaves the premises.
- Administrative Support: Assist with various administrative tasks, including data entry, filing, and photocopying, as needed.
- Emergency Response and Security: Respond to emergencies, monitor security cameras, and ensure visitors follow security procedures.
- Confidentiality and Data Protection: Handle sensitive information discreetly, maintaining confidentiality and only disclosing it to authorized individuals.
- Adhering to Company Policies: Comply with company policies, procedures, and guidelines, including communication, customer service, and security protocols.
