As a key member of our team, you'll play a vital role in managing a range of responsibilities, including:

  • Providing support for all aspects of move activities, including planning, scheduling, and coordinating with vendors.
  • Managing data moves, clarifying discrepancies, and auditing user data.
  • Assisting in coordination with stakeholders and functional units, and communicating with business units for successful move execution.
  • Supporting project managers in asset movement from existing offices and tracking relocation activities.
  • Monitoring vendor deliverables to ensure compliance with MS requirements and processes.
  • Regularly updating and reporting project status to the Morgan Stanley project team and working groups.
  • Managing client expectations through regular communication.

Administration and Documentation Management:

  • Create and maintain accurate and up-to-date relocation documentation, including inventories, packing lists, checklists, and move plans.
  • Ensure all relevant paperwork, permits, and contracts are obtained, filed appropriately, and readily accessible for review.
  • Obtain necessary permissions in advance for executing moves.
  • Prepare move labels, printing, cutting, and other necessary documents.
  • Collaborate with internal teams and vendors to gather necessary documentation and store it in a shared drive.
  • Maintain a tracker for move stationery and inform the MAC manager to order required stationery.
  • Prepare move guides and other documents under the supervision of the MAC manager.
  • Prepare weekly/monthly move progress reports and share them with the MAC manager for review.
  • Record all communications, including emails, calls, and meetings, related to the move.
  • Ensure all documents are received prior to executing moves.
  • Maintain a tracker for all move expenses and share weekly/monthly with the MAC manager.
  • Process invoices/VPF in coordination with other MAC resources or as guided by the MAC manager.
  • Ensure purchase orders/contracts are signed and valid prior to executing any job/move.
  • Access Manhattan tools for move-related work.
  • Assist the internal team in preparing move plans – floor and BU-wise – to execute moves seamlessly.
