Job Title: Document Coordinator

This is a critical position for any organization with projects requiring precise document control.

The ideal candidate will oversee the creation, implementation, and maintenance of robust document management systems to ensure project compliance, accuracy, and timely distribution of all documentation during construction and execution phases.

Key Responsibilities:
  • Establish and maintain standardized document control processes aligned with industry standards and project requirements.
  • Configure, manage, and optimize Electronic Document Management Systems (EDMS) such as SharePoint or similar platforms.
  • Control, track, and maintain all project documentation including engineering drawings, specifications, contracts, RFIs, submittals, permits, etc.
  • Develop and implement document numbering, naming conventions, workflows, and metadata standards ensuring required standards are implemented and adhered to.
Pre-Construction Documentation Management
  • Ensure timely receipt, review, and distribution of engineering drawings, process flow diagrams, and cleanroom specifications.
  • Maintain accurate records of revisions and approvals for all controlled documents.
Compliance & Quality Assurance
  • Ensure adherence to industry best practices and regulatory requirements.
  • Conduct regular audits of document control processes and provide corrective actions where necessary.
Stakeholder Coordination
  • Liaise with stakeholders and vendors to track document submissions and approvals.
  • Support project teams in document retrieval, submission, and version control.
Required Skills and Qualifications:

Bachelor's degree in Engineering, Project Management, Business Administration, Information Management, or related field.

Minimum 5+ years experience in project management, document control, or a related field with at least 3 years in semiconductor or high-tech manufacturing projects.

Technical Skills:
  • Proficiency in EDMS platforms such as SharePoint or similar platforms.
  • Strong understanding of facility design documentation.
Soft Skills:
  • Excellent organizational and communication skills.
  • Ability to work under tight deadlines in a fast-paced environment.
