Executive Support Assistant to Chief Executive Officer

We are seeking an exceptional administrative professional to serve as the Assistant to our CEO at Sisha Greentech.

This high-level role will provide strategic support to the CEO, ensuring seamless day-to-day operations and facilitating business growth.

The ideal candidate will possess excellent organizational, communication, and time management skills, with the ability to maintain confidentiality and handle sensitive information.

Key Responsibilities:

  1. Calendar Management: Manage the CEO's complex calendar, scheduling appointments, meetings, and travel arrangements.
  2. Communication and Correspondence: Handle incoming and outgoing correspondence, emails, and phone calls, drafting, editing, and finalizing letters, memos, and other documents on behalf of the CEO.
  3. Meeting Preparation and Coordination: Organize meetings, prepare agendas, and distribute materials in advance, taking minutes, tracking action items, and ensuring follow-up tasks are completed.
  4. Project Management: Assist in managing special projects, initiatives, and events, coordinating with internal teams, vendors, and stakeholders to achieve project goals.
  5. Information Management: Maintain accurate, up-to-date records and files, ensuring confidentiality and handling sensitive information with discretion.
  6. Travel Arrangements: Book travel, accommodations, and itineraries for the CEO, preparing travel documents, including visas and expense reports.
  7. Expense Management: Process the CEO's expenses, ensuring compliance with company policies.
  8. Special Tasks: Perform various administrative tasks, such as data entry, document scanning, and mail distribution, providing backup support for other administrative staff as needed.

Requirements:

1. Education: Bachelor's degree in Business Administration, Communications, or related field.

2. Experience: 2+ years of experience in executive-level administrative support.

3. Skills:

Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), excellent communication, organizational, and time management skills, ability to maintain confidentiality and handle sensitive information, strong problem-solving and analytical skills.

4. Personal Qualities:

Proactive, flexible, and adaptable in a fast-paced environment, discreet, professional, and courteous in all interactions.
