Order Management Specialist with Expertise in Logistics and Customer Service

Job Description: Order Management SpecialistThe successful candidate will join our Order Management Team (Centre of Excellence) and support the transition of order management from Market Order Management teams to the COE. This role involves processing administrative tasks in the Order to Invoice process, working closely with Global Sales and Order Management functions.
This opportunity offers the chance to contribute significantly to lasting change in how we manage customer orders and directly improve customer experience.
Duties and Responsibilities- Process sales orders in full cycle from order to invoice according to Smiths guidelines and policies.
- Liaise with internal and external parties to manage and resolve issues related to order fulfillment.
- Manage and input sales orders timely to ensure on-time delivery for a given market.
- Create Delivery Notes, Factory Liaisons, PGI, and Invoices.
- Ensure efficient backlog management with no past due status.
- Attend weekly and monthly internal meetings.
- Participate in cross-functional initiatives as required.
- Maintain a clean backlog and comply with audit requirements.
- Set up folders in SharePoint/MS Teams for each order and ensure timely updates.
- Ensure system and operational transactions comply with laws, regulatory taxation, and corporate policies.
- Document all necessary information for seamless transit from origin to destination without delays, adhering to customer needs and foreign trade regulations with support from sales and finance teams where relevant.
- Perform ad-hoc tasks assigned by supervisors or management.
- Update internal data dashboards.
- Train and coach junior resources.
- A minimum of a Bachelor's degree (B.A, B.com, B.B.A, B.C.A, BSC, or similar).
- At least 5-7 years of prior experience in sales & order administration, logistics, and customer service.
- Strong hands-on experience with SAP.
- A high level of attention to detail.
- Strong analytical and problem-solving skills.
- Excellent oral and written communication skills.
- Ability to build effective relationships internally and externally.
- Customer-focused.
- Self-motivated and proactive, able to work independently without close supervision.
