Job Summary:

Key Responsibilities:

  • Maintain accurate and up-to-date personnel files and records
  • Coordinate and administer all paper flow within the Division
  • Assist with the coordination and administration of the employee recognition program
  • Maintain employee facilities and ensure they meet standards
  • Assist with the implementation and administration of employee relations, benefit, and compensation programs
  • Locate and attach file correspondence to be answered by the Division Head
  • Typing and upkeep of all correspondence related to the department
  • Set up a systematic and efficient filing system for hard files and electronic data
  • Answer telephone calls and provide information to callers or route calls to the appropriate official
  • Greet visitors, ascertain the nature of their business, and conduct visitors to the employer or appropriate person
  • Take dictation, minutes, draft letters, file, and compose correspondence
  • Handle outgoing mail by courier
  • Prepare submission of medical claims to the insurance company
  • Ensure all entitlements are properly recorded and updated
  • Handle monthly/weekly requisition of stationery and general/dry goods stores
  • Update employee leaves, attendance, and records onto the Human Resources Computer System
  • Check and update employee attendance records for payroll
  • Support the administration of probationary reviews and performance appraisals
  • Participate and assist the Human Resource Manager and Training Manager in the administration and preparation of the in-house Newsletter

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field
