Job Description

The role holder will be part of the Order Management Team (Centre of Excellence) and support the transition of order management from Market Order Management teams to the COE. Primary tasks include processing administrative tasks in the Order to Invoice process, working with Global Sales and Order Management functions.

Duties & Responsibilities

What you'll do:

  • Process sales orders in full cycle from order to invoice according to Smiths guidelines and policies.
  • Liaise with internal and external parties to manage and resolve issues relating to order fulfillment.
  • Manage and input sales orders timely to ensure on-time delivery for a given market.
  • Manage and create Delivery Note, Factory Liaison, PGI, and Invoicing.
  • Ensure backlog is managed efficiently with no past due status.
  • Attend weekly and monthly internal meetings.
  • Participate in cross-functional initiatives.
  • Ensure clean backlog and compliance to audit requirements.
  • Set up folders in Share Point/MS Teams for every order and ensure all information is updated timely.
  • Ensure system and operation transactions comply with law, regulatory taxation, and corporate policies.
  • Ensure necessary documentation is in place for transit from origin to destination without delays, according to customer needs and foreign trade regulations, with support from sales and finance teams.
  • Ad-hoc tasks assigned by the supervisor/management.
  • Manage and update internal data Dashboards.
  • Train and coach junior resources.

The Individual

What you'll definitely need:


• A bachelor's degree (B.A, B.com, B.B.A, B.C.A, BSC or similar).


• At least 5 to 7 years prior experience in sales & order administration, logistics, and customer service.


• Strong hands-on working experience of SAP.


• A high level of attention to detail.


• Strong analytical and problem-solving skills.


• Excellent oral and written communication skills.


• Ability to build effective relationships both internal and externally.


• Customer focused.


• Self-motivated and pro-active, able to work on your own initiative without close supervision.
