Role Overview
We are seeking a highly organized and detail-oriented Personal Secretary to provide exceptional administrative support to our M.D. This is a fantastic opportunity for someone who is passionate about delivering excellent results, working collaboratively, and taking initiative.
Key Responsibilities
- Coordinate appointments, meetings, diaries, and travel arrangements for the director.
- Act as a liaison between internal and external departments, ensuring effective communication.
- Answer calls and route them to the right person.
- Prepare and edit correspondence, reports, and presentations. Maintain accurate and up-to-date records.
- Remind managers/executives of important tasks and deadlines.
- Check and update the delegation sheet on a regular basis, tasks assigned by MD.
- Organize and attend meetings, take minutes, and distribute information as needed.
- Handle sensitive information with discretion and maintain confidentiality.
- Manage and prioritize tasks to ensure the executive's time is utilized effectively.
- Identify and address challenges, finding solutions to streamline processes.
- Oversee office supplies, equipment, and facilities to ensure a productive and well-maintained work environment.
- Excellent written and verbal communication skills.
- Good follow-up work and multitasking skills.
- Proficient in MS Office and MS Excel.
Requirements
- Mariied female with kids is preferable.
- Resides 40 minutes away from the office.
