Job Overview
The Chief of Staff to the CEO will act as a strategic advisor, project manager, and executive assistant to the CEO. This person will help streamline operations, manage key projects, and ensure effective communication and execution of the CEO’s vision across all levels of the organization. This is a highly visible role that requires a proactive mindset, excellent organizational skills, and the ability to handle confidential matters with discretion.
Key Responsibilities
Strategic Planning and Support:
Serve as a strategic partner to the CEO, providing high-level advice and insights into company operations and external trends.
Assist in the development and execution of strategic initiatives, tracking progress and ensuring alignment with company objectives.
Prepare materials for key meetings, including reports, presentations, and agendas, ensuring the CEO is well-informed on critical issues.
Project Management:
Lead and coordinate cross-functional initiatives to ensure timely and effective execution of the CEO’s priorities.
Manage high-impact, special projects as directed by the CEO, ensuring they align with overall business goals.
Act as a liaison between the CEO’s office and various departments, ensuring project updates are communicated effectively and any issues are escalated when needed.
Executive Communication:
Draft, review, and edit correspondence, reports, and presentations on behalf of the CEO.
Ensure clear and consistent communication between the CEO’s office and stakeholders, both internal and external, maintaining confidentiality as required.
Facilitate internal communications by preparing internal memos, emails, and talking points for the CEO.
Operational Efficiency:
Oversee the CEO’s daily schedule, ensuring optimal use of time by prioritizing meetings and engagements.
Coordinate executive team meetings, offsites, and other critical company-wide events, ensuring follow-ups are completed.
Implement and refine office processes and workflows to improve operational efficiency in the CEO’s office.
Stakeholder Management:
Act as a primary point of contact for external stakeholders, including clients, partners, and investors, managing relationships on behalf of the CEO.
Represent the CEO in meetings, where appropriate, ensuring that action items are recorded and communicated.
Coordinate with external advisors, such as legal teams, auditors, or consultants, ensuring their collaboration aligns with the CEO’s priorities.
Administrative Support:
Handle administrative tasks including calendar management, travel arrangements, and expense reports for the CEO.
Manage sensitive information with discretion, maintaining confidentiality at all times.
Ensure the CEO’s office is organized, with all documents and materials easily accessible and up-to-date.
Key Skillsets
Qualifications
Education: Bachelor’s degree in business administration, management, or a related field (Master’s preferred).
Experience: 5+ years in a senior project management, executive assistant, or strategy role, ideally in a fast-paced corporate environment.
Skills:
Strong analytical and problem-solving abilities, with experience handling complex projects.
Exceptional communication skills, both written and verbal, with a demonstrated ability to present ideas clearly and concisely.
Proven ability to work well under pressure, meet deadlines, and multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and other project management tools.
Highly organized and detail-oriented, with a proactive and adaptable attitude.
