About the Role
We’re looking for a kind, caring, and organized Executive Assistant to help the CEO of a matchmaking company. Our company helps amazing Indian American women find love, and this job is all about helping the CEO stay on track and making things run smoothly.
You’ll handle business tasks like scheduling and emails and also personal tasks like booking travel and planning events. You’ll work closely with the CEO, making her life easier so she can focus on growing the company. What You’ll Do
Business Tasks
Organize the CEO’s calendar and make sure she’s prepared for meetings.
Help with emails—respond, sort, and keep things running smoothly.
Plan and track tasks, deadlines, and important dates.
Help create reports, presentations, and documents.
Work with the team to organize events, workshops, and projects.
Be the main point of contact for clients, team members, and vendors.
Keep everything organized so the business runs like clockwork.
Personal Tasks Plan travel, including flights, hotels, and itineraries.
Schedule personal appointments and events for the CEO.
Help with errands like buying gifts or making reservations.
Be a trusted helper who protects the CEO’s time.

Requirements
At least 3 years of experience as an assistant or in a similar role.
A natural helper who loves making things easier for others.
Comfortable managing both business and personal tasks.

Success in this Role Means:
Daily Posting Across Platforms: Ensure content is scheduled and posted on Instagram, Facebook, LinkedIn, and email every single day, without exception.
Post 3x/day on Instagram (morning, afternoon, evening) with a 95% adherence rate to the content calendar.
Monitor engagement metrics (likes, comments, shares, saves, and responses) for Instagram posts daily and provide a weekly summary report.
Monitor and track monthly engagement metrics on Instagram (number of views, click rate, profile link click rate)
Prepare and upload carousel posts to Instagram (1 post per day, content will be provided)
Content Quality Assurance: Review all scheduled content for grammar, tone, and alignment with the CEO’s vision before posting.
Visuals and copy are ready at least 7 days before they’re due to go live.
Content Library Management: Maintain and organize a content library with at least 2 weeks of pre-scheduled posts across all platforms.
Proactively identify gaps in the content calendar and provide suggestions for additional posts to maintain consistent engagement.
Client and Audience Emails: Respond to 100% of client and audience emails within 24 hours , maintaining a professional and empathetic tone.
Track email response times to ensure no messages are missed or delayed beyond 1 business day.
Matchmaker Coordination: Liaise with other matchmakers promptly and professionally, replying to all communications within 24 hours .
Maintain clear, polite, and respectful communication, ensuring a 100% satisfaction rate in matchmaker feedback surveys.
CEO Inbox Management: Organize and prioritize the CEO’s emails daily, flagging high-priority items and drafting responses when needed.
Achieve a 90% rate of inbox zero by the end of each day.
CEO Travel and Personal Arrangements Travel Planning: Ensure all flights, hotels, and personal travel arrangements are booked and confirmed at least 1 month in advance .
Provide a detailed travel itinerary, including addresses, contact numbers, and reservation details, no later than 2 weeks before departure .
Handle travel adjustments or emergencies within 12 hours of notification.
Personal Scheduling: Plan and coordinate personal appointments (e.g., gym, wellness, personal errands) for the CEO with 95% accuracy.
Administrative and Operational Excellence Daily Task Tracking: Use a task management system to track all administrative tasks, ensuring 95% of deadlines are met or exceeded.
Provide the CEO with a daily summary of completed and pending tasks by 7 PM each day .
System Maintenance: Keep digital systems (CRM, email platform, content scheduler) updated weekly to prevent delays or errors.
Organize all client files, ensuring 100% accessibility and no misplaced data.
Proactive Problem-Solving: Identify and address potential bottlenecks in content, communication, or travel logistics before they impact operations.
Implement at least 1 new process improvement per quarter to increase team efficiency.
Learning and Development: Complete at least 2 professional development courses per year to stay updated on content management, organizational tools, and executive assistant best practices.
Content Coverage: Achieve 100% daily posting compliance across all platforms, including Instagram, Facebook, LinkedIn, and email.
Maintain a backup plan with at least 10 pre-approved posts for emergencies.
Communication Standards: Respond to 100% of emails and matchmaker communications within 24 hours, with a 0% escalation rate for missed replies.
CEO Satisfaction: Maintain a 9/10 or higher satisfaction rating during quarterly performance reviews, based on timeliness, communication, and execution quality.
Error Rate: Keep an error rate below 1% across all tasks, including scheduling, booking, and correspondence.
