The medical department plays a key role in athlete health, performance optimization, and injury management. Job Summary: The Medical Administrator at the Inspire Institute of Sport (IIS) plays a crucial role in supporting the operational and administrative functions of the medical department. Working at the intersection of elite sports and healthcare, the role requires a proactive, organised, and detail-oriented individual who can manage athlete medical records (using Teamworks), coordinate appointments, facilitate interdepartmental communication, and ensure the smooth functioning of the medical team. This position demands a high level of professionalism, confidentiality, and efficiency, and is ideal for someone passionate about healthcare delivery in a high-performance sports environment. Key Responsibilities: 1. Athlete & Medical Staff Coordination - Manage scheduling and appointment bookings for athletes across sports medicine (including external investigation and/or consultations), and potentially sports physiotherapy. - Act as a point of contact for athlete medical queries and follow-ups. 2. Medical Records & Data Management - Maintain accurate, up-to-date electronic medical records (EMRs) for all athletes (using Teamworks), ensuring data integrity and confidentiality. - Track athlete injuries, treatments, rehabilitation timelines, and medical clearances. - Generate reports for performance staff, coaches, and leadership as needed. 3. Administrative Operations - Support day-to-day operations of the medical department including inventory management, document handling, and logistics. - Maintain databases, forms, consent documents, and medical protocols in alignment with institutional standards. - Assist in the preparation of presentations, reports, and documentation for medical audits or compliance reviews. 4. Internal & External Liaison - Coordinate with hospitals, diagnostic labs, and external healthcare providers for referrals, diagnostics, and second opinions. - Support the onboarding process for new athletes and medical staff regarding protocols and health documentation. Ensure all current athletes are active on Teamworks. 5. Compliance & Confidentiality - Ensure strict adherence to IIS data protection policies and medical confidentiality standards. - Support compliance with relevant national medical guidelines, sports medicine ethics, and organizational SOPs. Key Qualifications & Skills: - Education: - Undergraduate degree or diploma in Healthcare Administration, Sports Management, or related field. A background in physiotherapy, nursing, or life sciences is a plus. - Experience: - 1–3 years of experience in a medical, sports science, or health administration role. - Experience in elite sports settings or with athlete management systems (AMS) is an advantage. - Technical Skills: - Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint). - Familiarity with electronic Athlete Management Systems - Soft Skills: - Exceptional organizational skills and attention to detail. - Strong interpersonal and communication abilities. - Ability to work in a fast-paced, multidisciplinary environment. Working Conditions: - Based on-site at the Inspire Institute of Sport. - Typically 8:30am to 6pm (Mon-Fri) - Fast-paced, performance-oriented work culture focused on elite athlete development.
