**Job Summary**:
We're seeking an enthusiastic Administrative Receptionist dedicated to delivering exceptional client service and ensuring seamless office operations. As a Front Office Executive/Receptionist, you are the face and voice of our organization, responsible for creating a positive first impression for clients, visitors, and callers. Your role encompasses a blend of administrative tasks, client interaction, and maintaining the efficiency of our front office operations. We're looking for a multitasking individual who thrives in a dynamic environment, excels in customer service, and possesses excellent organizational and communication skills. **Key Responsibilities**:
**Welcoming and Assisting Visitors**:Greet all clients and visitors warmly and professionally. Provide necessary assistance and guidance, ensuring their needs are met promptly and courteously.
**Client Communication**:Answer incoming calls, respond to inquiries, and redirect calls to the appropriate departments or individuals. Be a reliable source of information, handling queries with accuracy and professionalism.
**Administrative Support**:Assist in various administrative tasks such as copying, note-taking, and making travel arrangements. Prepare meeting and training rooms as needed. Schedule appointments and manage calendars efficiently.
**Phone Management**:Answer phone calls in a professional manner, directing calls and taking messages as necessary to ensure efficient communication flow.
**Travel Documentation Management**:Oversee and process all travel-related documentation, including payments, itineraries, visas, medical, and legal forms. Ensure accuracy and completeness of travel arrangements.
**Facilities and Events Management**:Manage pantry and housekeeping requirements, maintaining a clean and organized front office area. Assist in organizing and executing corporate events and celebrations.
**Mail and Package Handling**:Sort and distribute incoming mails and packages to the respective departments. Ensure timely and accurate delivery.
**Office Supplies and Equipment**:Maintain inventory, track, and order office supplies and equipment. Ensure the front desk is well-stocked and equipped with necessary supplies**.**
**Record-Keeping**:Maintain records and files, ensuring proper organization and confidentiality. Assist in various clerical duties such as filing, photocopying, transcribing, and faxing.
**Requirements**:
- A minimum of 1 years of experience as a Front Office Executive in Information Technology company.
- Excellent interpersonal and communication skills.
- Proficiency in handling multi-line phone systems.
- Strong organizational abilities and attention to detail.
- Proficiency in MS Office suite and basic administrative software.
- Ability to multitask and prioritize tasks effectively.
- Previous experience in a receptionist or front office executive role is preferred.
- Professional appearance and demeanor.
