Admin/personal Assistant

We are hiring for Personal Assistant to MD for our Pune office.
Experience - Minimum 3-6 years of experience.
Age must be 30-35 years
**Key responsibilities**:
To work as executive assistant to the MD
Act as the point of contact among executives, employees, clients and other
external partners.
Assist in the preparation of agendas and capture salient points, decisions, action
items and status in meetings such as Board meetings, Project Meetings.
Draft correspondence t o be sent on behalf of and signed by MD.
Manage information flow in a timely and accurate manner.
Manage executives’ calendars and set up meetings.
Make travel and accommodation arrangements.
Take minutes during meetings.
Screen and direct phone calls and distribute correspondence.
Share collective responsibility for delivering organizational objectives, through
active engagement and collaboration with employees at all levels in the
organization.
Ensure that urgent enquiries and emerging issues are brought to the MD’s
attention.
Organise meetings and ensure that Director is well prepared for those
meetings, preparing agendas, pre-meeting briefings and meeting papers.
Produce documents, briefing papers, reports and presentations for the Director.
Assist Director in researching and following up with action on matters which fall
within the Director’s responsibility - chasing responses, triggering follow-up
action.
Maintain records of Director’s contacts, screen calls, enquiries and requests,
and deal with them when appropriate.
Maintain Director’s office systems, including data management and filing.
Process Director’s correspondence, ensuring that incoming correspondence is
dealt with by the Director/or on behalf of the Director, or other staff as
appropriate.
Manage Director’s travel arrangements (including visa /accommodation).
Manage Director’s electronic diary, assessing priority of appointments and
reallocation as necessary.
