**Position Summary**: Contributes & Supports Regional Finance Head of Real Estate - Direct Countries in the regions (APAC, EMEA, Latin America, East Asia) for Contract Administration Processes using Abstraction tool (SHARP) & Lease Management and other Management System (Planon)

**Areas of Responsibility**
- Understanding the RE Global - Contract Administration Process
- Co ordination with Regional Heads, Location Managers/Regional SPOCs for contract status and documentation
- Overall Planon Tool Reporting including Space, Lease in, GHQ templates etc.
- Collecting and updating space information and any other information to be reported in PLANON
- Develop a standard reporting (together with HQ and the regions) and providing all relevant reports to regions and HQ to support overall business success
- Maintaining contractual documentation related to Real Estate Units (REUs) in the RE Central Storage Sharepoint - Document Management System (DMS)
- Uploading contracts into the SHARP tool for contract abstraction
- Verfiying abstraction reports & co ordination & tracking of contracts with the support of contract abstraction agency
- Review pending items and critical dates related to the contracts & advising/instructing location managers/abstraction agency for document completion incases of deficiencies noticed/highlighted
- Providing necessary supporting documentations for relevant updates to historic data as well as for on going contracts
- Data Entry and updatation in Planon Tool in co ordination with various stakeholders (internal teams eg. AC, Procurement, FI etc.) for space & contract management
- Application of IFRS16 relevant treatments & recommendations in the Planon tool for relevant contracts
- Ensuring completeness and up to date maintenance of contracts in line with location strategy/business requirements (eg. reasonable certainty to renew/terminate, change in vendor details, recording rent rebates/incentives etc.)
- Supporting internal processes eg. audits, financial reporting, location concept paper etc.
- Triggering critical events well in advance for any actions if required
- Overall data quality check and reporting
- Reconciliation of reports from various other tools (eg. Accounting tool LARS reports and Planon reports, RE Finance Dashboards etc.)

**Skills & Qualification**
- Shall have experience 4-5 years in similar portfolio
- Knowledge of Contract Management/Administration & Real Estate Management
- Data Entry into Digitalization Tools
- Basic knowledge of corporate real estate business/activities

Diploma/Graduatation in Architectural/Engineering/Real Estate Mangement
