**Role Overview**: We are seeking a professional and friendly Receptionist to join our team at MSM Unify. The Receptionist will be the first point of contact for visitors and callers, representing the company with a warm and welcoming attitude. This role involves managing the front desk operations, handling inquiries, and providing administrative support to various departments.

**Key Responsibilities**:

- **Front Desk Management**: Greet and welcome visitors in a friendly and professional manner, ensuring a positive first impression.
- **Telephone Handling**: Answer, screen, and direct incoming calls promptly, taking messages as necessary.
- **Visitor Coordination**: Manage visitor logbooks and ensure all visitors are signed in and out according to company protocols.
- **Mail and Courier Management**: Receive, sort, and distribute mail and courier packages; manage outgoing mail and shipments.
- **Appointment Scheduling**: Assist in scheduling meetings, appointments, and conference room bookings as required.
- **Administrative Support**: Provide general administrative and clerical support, including data entry, filing, and photocopying.
- **Office Supplies Management**: Monitor and maintain inventory of office supplies, placing orders as necessary.
- **Communication**: Relay important information and announcements to staff and visitors as needed.
- **Facility Management**: Coordinate with maintenance and cleaning staff to ensure the reception area and meeting rooms are clean and presentable at all times.
- **Customer Service**: Assist with general inquiries from visitors, clients, and employees, providing accurate information or directing them to the appropriate person.
- **Safety and Security**: Ensure that all safety protocols are followed, including managing access to the premises and reporting any suspicious activity.

**Qualifications**:

- High school diploma or equivalent; additional certification in Office Administration is a plus.
- Proven experience as a Receptionist, Front Office Representative, or similar role.
- Proficient in MS Office (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and a positive attitude.
- Ability to handle sensitive and confidential information with discretion.
- Customer service-oriented with a focus on creating a welcoming environment.
