As we continue to expand, we are looking for a motivated and organized **Office Administrator** to join our team and help us run our day-to-day operations smoothly.
**Position Overview**:
The Office Administrator will play a crucial role in maintaining the smooth functioning of our office, supporting the production team, and ensuring that all administrative tasks are handled efficiently. This position is ideal for a proactive individual with excellent organizational skills, who thrives in a fast-paced and creative environment.
**Key Responsibilities**:
**Administrative Support**:
- Schedule meetings, appointments, and coordinate calendars for the team.
- Maintain office supplies and equipment, ensuring the office is fully stocked and operational.
**HR and Payroll Support**:
- Assist with HR-related tasks such as onboarding new employees, maintaining employee records, and handling timesheets.
- Liaise with external HR and payroll services to ensure timely processing of employee salaries and benefits.
**Production Assistance**:
- Provide administrative support to the production team by coordinating travel arrangements, booking locations, etc.
- Coordinate travel and arrangements with the team and clients, if needed.
**Document Management**:
- Maintain organized filing systems for contracts, invoices, and other important documents.
- Handle data entry and ensure that records are updated and accurate.
**Client and Vendor Relations**:
- Communicate with clients, vendors, and external partners for administrative purposes.
- Manage contracts, handle invoices, and follow up on payments and deliveries.
**Office Culture and Events**:
- Organise company events, team outings, and office activites.
- Foster a positive and creative office environment that aligns with the company's culture and values.
**Qualifications**:
- 2+ years of experience in office administration and accounting.
- Strong organisational and multitasking skills, with the ability to prioritise and meet deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to work independently and collaboratively in a fast-paced, creative setting.
- A proactive, solution-oriented approach to problem-solving.
**Preferred Qualifications**:
- Prior experience in the film production industry, creative agency, or a startup environment.
- Familiarity with accounting, budgeting, and invoicing software.
- Proficiency in written and spoken English and Hindi languages.
- Should be able to interact with clients and vendors seamlessly.
