Role DescriptionThis is a full-time on-site role for an Executive Administrative Assistant at SANGHVI’S FUTURISTIC INSUPACK PVT LTD in Ahmedabad. The Executive Administrative Assistant will be responsible for providing administrative support, handling phone etiquette, communication, and clerical tasks for the executive team.
ResponsibilityCalendar Management: Manages and maintains a complex calendar, scheduling meetings, appointments, and events.Prioritizes and schedules meetings, ensuring optimal time management.Coordinates with internal and external stakeholders to schedule meetings and events.Travel Arrangements: Organizes and manages domestic and international travel arrangements, including booking flights, accommodations, and ground transportation.Handles visa and passport requirements, as needed.Prepares detailed travel itineraries.Communication Management: Screens and prioritizes incoming calls, emails, and correspondence.Drafts and proofreads correspondence, reports, and presentations.Responds to inquiries and requests on behalf of the executive.Administrative Tasks: Manages expense reports and reimbursements.Handles office supply orders and inventory management.Maintains accurate and organized filing systems, both physical and digital.Project Support: Assists with special projects and initiatives as assigned.Conducts research and gathers information as required.Prepares presentations and reports.Confidential Matters: Handles sensitive and confidential information with discretion.Maintains strict confidentiality in all aspects of the role.QualificationsAdministrative Assistance and Executive Administrative Assistance skillsStrong phone etiquette and communication abilitiesClerical SkillsExcellent organizational and time management skillsProficiency in MS Office SuiteAttention to detail and problem-solving skillsAbility to multitask and prioritize tasks effectivelyExperience in a similar role is a plus
