Job Overview:
We are seeking a highly organized and proactive Personal Office Secretary to provide remote support to our director. The ideal candidate will be responsible for coordinating schedules, planning meetings, and ensuring the Director’s Day is efficient and productive. This role involves handling personal requirements, managing communications, and being available on-demand throughout the day to assist with various tasks.
Key Responsibilities:
Schedule Coordination:
a. Manage and maintain the Director's calendar.
b. Plan and schedule meetings, appointments, and conferences.
c. Provide timely reminders and ensure the Director is prepared for all engagements.
Efficiency Enhancement:
a. Proactively handle personal and administrative tasks to save the Director time.
b. Ensure all personal requirements are managed for a hassle-free day.
On-Demand Availability:
a. Remain accessible throughout the day to assist with immediate needs.
b. Respond promptly to requests and adjust priorities as necessary.
External Coordination:
a. Navigate and communicate effectively with external departments, vendors, and partners to accomplish tasks.
b. Facilitate interactions and follow-ups to ensure work progresses smoothly.
Data Management and Reporting:
a. Prepare presentations, reports, and documents using Excel and other tools.
b. Handle numerical data accurately and efficiently.
Communication:
a. Maintain excellent spoken and written English communication.
b. Act as a point of contact between the Director and internal/external parties.
Qualifications:
Experience:
a. Minimum of 3 years of experience in a similar role, preferably supporting senior management.
Skills and Abilities:
a. Proficient in Microsoft Excel and presentation software (e.g., PowerPoint).
b. Strong numerical aptitude and attention to detail.
c. Excellent organizational and time-management skills.
d. Ability to multitask and prioritize effectively.
e. Smart and resourceful in problem-solving and navigating
complex situations.
f. Exceptional spoken and written English communication skills.
