Job Summary :

Insignian Home, a leading home textile manufacturer and exporter based in Mumbai, is seeking an experienced Logistics & Export Documentation Manager to manage and streamline our export processes. This role involves coordinating logistics, managing export documentation, and ensuring compliance with international trade regulations to facilitate smooth and timely delivery of products to clients outside India.

Key Responsibilities :

  • Export Documentation :
  • Prepare, verify, and manage all export documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, and letters of credit, to meet buyer and regulatory requirements.
  • Ensure documentation accuracy, compliance with international trade regulations, and timely submission to avoid shipment delays.
  • Maintain organized records of all export documents to support audits and ensure easy traceability.
  • Logistics Coordination :
  • Oversee the end-to-end logistics process, coordinating with freight forwarders, shipping lines, and Customs House Agents (CHA) to ensure efficient transportation, customs clearance, and compliance with regulatory requirements.
  • Book shipments, schedule pickups, and monitor real-time status updates to ensure timely and cost-effective delivery to international clients.
  • Handle logistics-related inquiries from clients, providing them with accurate shipment timelines and updates.
  • Compliance with Trade Regulations :
  • Keep updated on international trade policies, including Indian export regulations and INCOTERMS, ensuring compliance for all shipments.
  • Collaborate with regulatory bodies, CHAs, and customs authorities to secure necessary export permits, certifications, and declarations.
  • Ensure compliance with client-specific requirements to avoid delays or penalties.
  • Inventory and Warehouse Coordination :
  • Work closely with the warehouse team to ensure accurate preparation, packaging, and labeling of goods for export, minimizing the risk of damage or discrepancies.
  • Manage and track inventory levels and shipment dispatches to meet the scheduling and quality expectations of international buyers.
  • Cost Management and Optimization :
  • Negotiate with logistics providers and CHAs to secure competitive rates, optimizing shipping routes and minimizing costs.
  • Identify and implement process improvements to enhance operational efficiency and cost savings in logistics.
  • Performance Monitoring and Reporting :
  • Monitor logistics performance metrics such as delivery timelines, shipment costs, and carrier reliability to identify improvement areas.
  • Generate and present regular reports to management on logistics status, shipment issues, and cost analysis.

Requirements :

  • Bachelor’s degree in Logistics, Supply Chain Management, International Business, or a related field.
  • Minimum 5 years of experience in logistics and export documentation, preferably within the textile or manufacturing industry.
  • In-depth knowledge of export documentation processes, international trade laws, and compliance requirements.
  • Familiarity with working alongside Customs House Agents (CHA) for efficient customs clearance.
  • Strong organizational skills, with high attention to detail and the ability to meet tight deadlines.
  • Proficiency in logistics software, MS Office, and ERP systems.
  • Excellent communication and negotiation skills to coordinate effectively with clients, logistics partners, and regulatory authorities.

Preferred Skills :

  • Experience managing export logistics for home textile products or similar industry.
  • Familiarity with global shipping practices, and customs processes specific to Mumbai.
  • Ability to prioritize tasks and work in a fast-paced export environment.
