JOB OVERVIEW  

This role at GIC is a leadership role, works with corporate leaders, stakeholders across all levels at the site to ensure smooth workplace operations are in place. This role will require to Manage, Analyze, improve and control current operational processes and performance, recommending solutions for improvement where necessary. Works with vendors, contractors and employees from other departments involved in execution of smooth workplace.

The role is responsible for formulating strategies and bringing forward external benchmarking to make General Mills India Center events cost effective, engaging and executed as per latest trends in technology and on the ground support.

This leader provides the highest-level oversight and direction for internal and external members supporting the workplace operations areas. In addition, the role is accountable for informing Site Leadership and Management Team of potential risks that may be incurred and providing pro-active solutions.

Serve as the primary point of contact for government agencies, local authorities, and vendors to ensure compliance with statutory requirements and maintain strong relationships.

The role will also be responsible for adhoc projects delivery involving multiple internal and external constituents and matrix partners

KEY ACCOUNTABILITIES 

Lead Internal Customer Support & Business Partnership-

• Manage & Lead Transportation, Cafeteria, Moves and Changes, Emergency Response, Office Supplies, Soft Services for workplace solutions.

• Strategize to ensure proactive, prompt response to customer requests to ensure customer satisfaction and confidence with workplace services team

• Develop a culture of customer service within the team.

• Ensure timely and appropriate resolution to on-going requests for the workplace operations are delivered.

• Maintain ethical and professional relations with customers, contractors, and vendors

• Build & maintain strong internal network and collaboration with other internal service partners such as HR, Finance, IT etc.

• Is a liaison between the suppliers and the GIC team for workplace operations.

• Be trusted advisor for Site Leadership engaging flawlessly with multiple stakeholders, Management Team, Global leadership, Vendor partner, Contractors and Business Stakeholders

Lead and Manage Service Delivery of Employee Services-

• Proactively provide excellent service delivery operations by proposing new ideas and administering day to day services such as Transportation, Cafeteria, Moves and Changes, Emergency Response, Office Supplies, Soft Services etc.

• Lead & Manage all Operational Audits and related Compliances

• Manage, Guide & Coach the direct staff in delivery of various Workplace Operations.

• Ensuring the Transport Services are smooth to manage employee safety, monitoring.

• Ensuring Food safety / Hygiene standards, availability of Food and Beverages based on business needs are met with.

• Ensuring Workplace is maintained with the best and high standards of hygiene.

• Manage existing contractors with an understanding of safety, required licenses, and cost benefit and build a pipeline for future needs.

• Manage, monitor & propose to the leadership on various building related items such as accounts, GMI labor, contractor services, etc.

• Establish a clear customer feedback mechanism, activate a strategy to implement inputs as per the plan.

• Ensure that operations metrics are established, refreshed and Tracked. Build a operations review mechanism to ensure smooth workplace operations.

• Manage & coach the direct and indirect team.

Procurement and Expenditure Management

• Drive cost optimization initiatives while maintaining quality services, contributing to the organization's financial health and growth.

• Ensure the stocks are managed in the optimal way and supplies are planned in an appropriate way.

• Ensure the Quality standards are met for the goods and services supplied by vendors to meet current requirements and competitive pricing.

• Management and renewal of all contracts related to various workplace operations.

• Preparation of CAPEX and expenditure budgets related to Workplace operations and related Projects

• Monitoring Operating Expenditure and Budgeting to ensure efficient cost control.

• Managing the process of Invoice processing & to ensure recording of financial information for expense monitoring purposes. It may require reviewing invoices submitted by vendors and ensuring accuracy of invoice.

Continuous Improvement-

• Own and drive continuous improvement in services and processes and evaluating new offerings

• Review performance of vendors, share concerns and improvement ideas.

• Monitor practices followed by support staff and by vendors.

• Drive and encourage the creation of continuous improvement ideas within the process network using continuous improvement and agile concepts.

• Scan external environment for leading practices, emerging industry trends and digital landscape to leverage best in class processes and practices

People management & Development

•Responsibility of people management and development based on requirements for the role

•Continued engagement with team towards performance and delivery

MINIMUM QUALIFICATIONS 

Full time graduation from an accredited university (Mandatory- Note: This is the minimum education criteria which cannot be altered) 10-12 years of full-time administration/ operations/ workplace management experience 5+ years working in a customer contact position dealing with executive and senior management personnel. Business or Operations Management or related Professional Certifications

PREFERRED QUALIFICATIONS

Masters Business, Hospitality, Hotel Management or related subject or a minimum of 10 years full time administration/ operations.

Specific Job Experience or Skills Needed

Strong experience in workplace solutions/ administration management areas and connection to larger impact Thinking strategically and bringing forwards solutions to serve the strategy of the business/function Be able to analyze and interpret information relevant for meetings & events and provide solutions with prudence on cost and quality Be able to handle multiple and conflicting priorities Be able to handle multiple stakeholders
