Position Summary
The Program Coordinator is responsible for planning, executing, and overseeing the smooth implementation of projects and programs within the organization. This role combines program management expertise with customer success strategies, requiring strong organizational skills, effective communication, and the ability to manage multiple tasks. By fostering strong relationships with stakeholders and acting as a liaison, the Program Coordinator ensures program goals align with organizational objectives while driving customer satisfaction and delivering a seamless and valuable experience for all participants.
Core Responsibilities
Project/Task/Program Planning and Execution
Prepare project/task scope and deliverables and communicate with customer and internal stakeholders.
Collaborate with cross-functional teams to define project scope, goals, and deliverables.
Coordinate project/task/program activities to ensure alignment with organizational objectives and customer expectations.
Adapt project plans based on evolving market conditions and challenges specific to the solar sector.
Stakeholder Coordination and Communication
Act as a liaison between internal teams, clients, and 3rd party vendors.
Communicate project/task updates, progress, and challenges to stakeholders, ensuring transparency and alignment.
Foster strong relationships with clients, suppliers, and industry partners to enhance collaboration.
Resource Management
Allocate resources, tasks, and responsibilities across cross functional teams effectively by collaborating with the functional heads.
Risk Management
Identify and manage project/task risks, issues, and constraints, developing mitigation strategies.
Communicate project/task risks with customers and stakeholders effectively with mitigation strategies.
Technical Collaboration
Work closely with engineering teams to ensure technical feasibility and alignment with project goals.
Oversee quality assurance and quality control measures to meet industry standards.
Monitoring and Reporting
Track project/task progress, hours, and timelines; collaborate and implement corrective actions as necessary.
Conduct regular project meetings, reviews, and status reports for internal and external stakeholders.
Maintain accurate project documentation and records for future reference and reconciliation.
Monitor program milestones against established KPIs such as timeline adherence, budget efficiency, and customer satisfaction.
Customer Success and Team Leadership
Ensure customer satisfaction by delivering seamless project/task execution and value-driven outcomes.
Foster a positive team environment that promotes collaboration, performance, and innovation.
Gather customer feedback to inform program improvements and proactively manage customer relationships to ensure high satisfaction and retention.
Process Improvement and Innovation
Continuously seek opportunities to improve processes, workflows, and project outcomes.
Stay updated on the latest tools, software, and techniques in project and program management.
Stay updated on solar industry trends, technologies, and regulatory changes to optimize program execution.
Focus on innovative approaches like adopting AI/ML tools for project predictions or using advanced analytics for resource optimization.
Decision-Making
Demonstrate effective problem-solving skills and decision-making abilities under pressure.
Use exceptional communication skills to align cross-functional teams and resolve conflicts effectively.
Customer Success and Team Leadership
Ensure program participants receive timely and effective communication, enhancing their overall experience.
Regularly solicit feedback to understand participant needs and incorporate insights into future project planning.
Foster long-term relationships with clients by delivering high-value solutions and maintaining continuous engagement.
Education Requirements
Bachelors/master’s degree in electrical/mechanical engineering
Technical Skills and Experience
Software Proficiency:
Mandatory
- MS Office
- MS Projects
- Any CRM tool
Good to have:
- AutoCAD basic knowledge
- Helioscope
- PVSyst
- And other solar projects related software.
Project Management:
- Experience in managing design projects from conception to implementation
- Experience in solar projects development phase
- Ability to coordinate with other engineers/development teams and stakeholders
Renewable Energy Systems:
Understanding of solar energy systems and their integration into existing infrastructure
Experience
At least 4 years of relevant experience in the Solar Sector. (Consultancy experience is highly preferred).
Psychosocial Skills /Human Skills/Behavioural Skills
Strong analytical, organizational, and problem-solving skills.
Project Management experience a plus.
- Entrepreneurial mindset with the ability to take ideas and run with them from concept to conclusion.
- Technical understanding of clean energy business processes
- Exceptional verbal and writing communication skills with superiors, peers, partners, and other stakeholders.
- Excellent interpersonal skills while managing multiple priorities in a fast-paced and ever-changing environment.
- Excellence in Microsoft Office (Word, Excel, PowerPoint)
