About the role
The Senior Executive, Administration will be responsible for overseeing administrative operations across the corporate office and factory premises. This role involves managing various administrative functions to ensure smooth and efficient operations, compliance with regulations, and a conducive work environment.
Duties & Responsibilities
Facility Management:
- Supervise and manage facilities at the corporate office and factory, ensuring a safe, clean, and functional work environment.
- Coordinate maintenance, repairs, and renovations as required.
- Oversee security measures and protocols.
Office Administration:
- Supervise and lead administrative staff, ensuring smooth day-to-day office operations.
- Manage office supplies, equipment, and inventories.
- Coordinate with vendors and service providers for office-related requirements.
Compliance and Regulatory Adherence:
- Ensure compliance with local regulations, health and safety standards, and environmental guidelines.
- Liaise with relevant authorities to obtain necessary licenses and permits.
Event and Meeting Coordination:
- Coordinate corporate events, meetings, and conferences, handling logistics and arrangements.
- Provide administrative support for senior management meetings and presentations.
Budget Management:
- Manage administrative expenses.
- Monitor expenditures and identify cost-saving opportunities.
Employee Welfare:
- Coordinate employee welfare programs, facilities, and services.
- Collaborate with Talent & Culture team for employee engagement initiatives.
- Ensure inventory management of new joiners kit, Mixologists and Chef kits
- Management of kitchen and inventory of dry and fresh rations
Vehicle Management
- Manage vehicle maintenance
- Drivers and vehicle allocations
- Fuel usage and record maintenance
Factory Support:
- Oversee administrative functions specific to the factory, including canteen operations, transportation, and employee facilities.
Qualifications, Knowledge, Skills and Experience
- Proven experience of atleast 5 years in administration, preferably within the food and beverages industry or manufacturing sector.
- Strong leadership and supervisory skills.
- Excellent organizational and multitasking abilities.
- Knowledge of regulatory requirements related to facilities, health and safety, and environmental standards.
- Proficiency in MS Office Suite and administrative software.
- Excellent communication and interpersonal skills.
