Position Overview:


The Purchase Associate will be responsible for managing all aspects of procurement and purchase-related activities within the company. This role requires meticulous attention to detail, strong organizational skills, and the ability to communicate effectively with vendors and internal stakeholders. The ideal candidate will be adept at multitasking and thrive in a fast-paced startup environment.


Key Responsibilities:


  • Manage purchases and maintain an accurate ledger of all transactions.
  • Screen purchases and compile a daily list of payables for review and processing.
  • Oversee asset management and maintain proper stock levels to support operational needs.
  • Review all bills and reimbursement requests to ensure accuracy and compliance with company policies.
  • Negotiate costs with vendors to obtain the best possible terms and pricing.
  • Conduct vendor research and establish relationships with new suppliers as needed.
  • Compare and evaluate offers from suppliers, and negotiate contract terms of agreement and pricing.
  • Track orders and ensure timely delivery of purchased products.
  • Review the quality of purchased products to ensure they meet company standards.
  • Enter order details (e.g., vendors, quantities, prices) into internal databases.
  • Maintain updated records of purchased products, delivery information, and invoices.
  • Prepare reports on purchases, including cost analyses and other relevant metrics.
  • Monitor stock levels and place orders as needed to prevent shortages or overstocking.
  • Coordinate with warehouse staff to ensure proper storage of purchased products.
  • Attend trade shows and exhibitions to stay up-to-date with industry trends and identify potential vendors or products.
  • Must be having basic knowledge for ZOHO tool


Key Performance Indicators (KPIs):


  • Timeliness of purchase order processing and payment.
  • Accuracy of inventory management and stock levels.
  • Percentage of cost savings achieved through negotiation with vendors.
  • Compliance rate with procurement policies and regulations.
  • On-time delivery rate of purchased products.
  • Percentage of quality control checks passed by purchased products.
  • Accuracy and completeness of purchase records and reports.
  • Frequency and quality of vendor research and relationship-building efforts.
  • Efficiency of order tracking and inventory replenishment processes.
  • Participation in relevant industry events and trade shows.


Qualifications:


  • Bachelor's degree in business administration, supply chain management, or a related field.
  • Proven experience in a similar role, preferably in a startup or fast-paced environment.
  • Strong analytical skills and attention to detail.
  • Excellent communication and negotiation abilities.
  • Proficiency in Microsoft Office Suite and experience with procurement software is a plus.
  • Ability to prioritize tasks and work efficiently under pressure.
  • Knowledge of relevant laws and regulations governing procurement practices.
